POSITION SUMMARY

The Office Services Assistant plays a key role in supporting daily office operations within a dynamic team environment. This position encompasses a variety of administrative duties, including scanning and document management, in addition to a mix of hospitality, reception coverage, and general office support. The ideal candidate is proactive, client-focused, and collaborative, with excellent communication and organizational skills. Flexibility to meet business needs and a strong commitment to teamwork are essential.

The position reports to the Director of Finance and Operations and is scheduled to work 9:00 am to 5:00 pm, Monday to Friday in the office.

RESPONSIBILITIES

Administrative Support:

  • Process large photocopy, scanning, and print jobs.
  • Bind and assemble documents.
  • Digitally scan incoming mails and courier package, and coordinate their distribution.
  • Prepare and arrange outgoing mail and courier shipments.
  • Monitor and maintain office supply inventory, including copy paper.

Office, Hospitality, and Reception Support:

  • Provide backup coverages for Reception, Hospitality, and Office Services team members during absences.
  • Assist with office and client functions, including setup and coordination.
  • Maintain cleanliness and presentation of shared spaces.
  • Perform occasional heavy lifting and movement of boxes and furniture.

Client Interaction:

  • Deliver excellent service to internal and external clients with a client-first mindset.
  • Communicate effectively regarding job status, requests, or deadline.
  • Anticipate needs and exceed expectations in office support service.

Additional Duties:

  • Assist with workstation setup for new hires and internal office moves.
  • Monitor and maintain office appliances and furniture.
  • Coordinate service calls or repairs as needed and report issues to the supervisor.
  • Support special projects and ad-hoc tasks as assigned.
  • Flexibility to work alternate hours, 8:00 am to 4:00 pm, and occasional overtime as needed

SKILLS & COMPETENCIES

  • Self-starter with superior attention to detail and organizational skills.
  • Excellent interpersonal and communication skills, both oral and written.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Familiarity with PDF programs (Adobe, Nuance) and Document Management systems is an asset.
  • Proven ability to manage multiple tasks in a fast-paced, deadline-driven environment.
  • Ability to work independently and function effectively as part of a team.
  • Demonstrated customer service orientation and problem-solving ability.
  • Ability to quickly learn and adapt to new systems and procedures.
  • Basic knowledge of office equipment (e.g., photocopiers).
  • Comfortable with physical tasks including lifting (up to 40 lbs.), bending, and moving items.
  • Ability to handle confidential and sensitive information with discretion.
  • Confident, polished, and professional presentation.
  • Strong work ethic, "can-do" approach, and positive team attitude.

EDUCATION, EXPERIENCE, & CERTIFICATIONS

  • Community College education or equivalent combination of work experience.
  • Minimum of 1 year of experience in a similar service capacity is required.
  • Legal office experience would be an asset but is not required.
  • Experience with mailroom services, courier management, document scanning, printing equipment is preferred.

The expected salary range for this role is $47,000 to $52,000, commensurate with experience.
