About Us

Kalpin Painting Inc. is a growing commercial and institutional painting contractor working on schools, high-rise buildings, universities, arenas, and large commercial projects across Southwestern Ontario.

We are looking for a highly organized and reliable Office Assistant to support our daily operations and assist with tender closings as needed. Full training will be provided.

Key Responsibilities

  • Perform general administrative duties, including answering phone calls, responding to emails, and managing correspondence.
  • Maintain and organize office records, files, contracts, and project documents.
  • Assist with data entry, invoicing, payables, receivables, and basic bookkeeping tasks.
  • Support estimators and project managers with tender closings and document preparation (training provided).
  • Update schedules, project logs, and internal tracking sheets.
  • Coordinate with office and site teams to ensure smooth workflow.
  • Prepare reports, letters, proposals, and other business documents as required.
  • Welcome visitors, vendors, and clients, providing excellent customer service.
  • Assist with ordering office supplies and maintaining office organization.

Qualifications

  • Previous experience as an Office Assistant, Administrative Assistant, or in a similar administrative role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong communication skills (written & verbal).
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Ability to prioritize tasks and work independently.
  • Professional, reliable, and comfortable working in a fast-paced environment.
  • New Grads welcome (training will be provided).
