Overview

We are seeking a detail-oriented and organized Office Clerk to join our team. The ideal candidate will provide essential administrative support across various departments, ensuring smooth daily operations. This role involves handling data entry, managing correspondence, and assisting with front desk duties in a professional and efficient manner. Candidates with experience in office environments, including medical or dental offices, and proficiency in relevant software are encouraged to apply. Strong organizational skills, excellent communication, and a customer service mindset are essential for success in this position.

Responsibilities

  • Manage multi-line phone systems, answer inquiries, and direct calls appropriately
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing systems to maintain organized records and documents
  • Greet visitors at the front desk with professional phone etiquette and customer support skills
  • Assist with appointment scheduling
  • Support bookkeeping and basic accounting tasks using QuickBooks or similar software
  • Proofread documents for accuracy and clarity before distribution
  • Provide general clerical support such as photocopying, scanning, and mailing correspondence
  • Maintain organization of office supplies and ensure the workspace is tidy and efficient

Experience

  • Prior immigration office experience is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks or other bookkeeping software is a plus
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Familiarity with multi-line phone systems and front desk operations
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Previous customer service experience demonstrating professionalism and communication skills
  • Clerical or administrative experience that showcases strong organizational and multitasking abilities
