Position Overview

The RFP Proposal Writer is responsible for preparing, writing, and coordinating high-quality proposal responses for public and private-sector opportunities. This role ensures that Evolution AV submits clear, compliant, persuasive proposals that reflect our brand standards and help us win strategic projects across Canada.

Job Duties and Responsibilities:

• Lead the preparation and writing of proposal submissions (RFPs, RFQs, RFIs).
• Review RFP documents and develop compliance checklists to ensure all mandatory requirements are met.
• Write and edit executive summaries, project methodology, company profiles, team bios, and past project descriptions.

• Produce polished, well-organized proposal documents that reflect Evolution AV's brand voice and customer-focused approach.
• Manage timelines and coordinate internal reviews to ensure all submissions are delivered on time.
• Maintain and update proposal templates, resumes, case studies, and content libraries.
• Assist in tracking win/loss outcomes and identifying improvements for future submissions.
• All other duties as assigned/required.

Job Skills and Qualifications

• Exceptional writing and editing skills with the ability to present technical information clearly.
• Strong organizational skills and attention to detail, with the ability to manage multiple deadlines.
• Ability to interpret and follow RFP instructions, evaluation criteria, and submission requirements.
• Proficient in Microsoft Word, PowerPoint, Adobe Acrobat; InDesign experience is an asset.
• Ability to work efficiently under pressure while maintaining professionalism and accuracy.
• 1–3 years of experience writing proposals or technical documents (AV/IT/construction/engineering sectors considered an asset).
• Ability to collaborate with cross-functional teams and communicate information clearly.
• Familiarity with AV, IT, or construction terminology is an asset — but not required if you learn quickly.
• Safety certifications and experience in a regulated industry are considered an asset.
• The chosen candidate will be required to set up reference calls with past supervisors or managers.
