Currently, we have an opening for a position as an Onboarding Coordinator. As an Onboarding Coordinator, you will coordinate and deliver onboarding programs for new hires, managing administrative setup, IT access, and required equipment. You'll collaborate with managers and trainers to schedule department-specific training, support new hire engagement, track onboarding progress, and report on completion and competency milestones. You will also gather feedback and continuously improve the onboarding process and materials.

What you will be doing

Onboarding Program Coordination

  • Plan and deliver structured onboarding programs for new hires across multiple departments.

  • Coordinate group onboarding sessions covering company overview, safety, culture, and technical orientation.

  • Align onboarding schedules with managers, HR, IT, and training teams.

Administrative Setup

  • Ensure all new hire documentation, forms, and policies are completed and filed accurately.

  • Coordinate IT account setup, system access, ID badges, and facility orientation.

  • Arrange for required PPE, uniforms, tools, and workstation supplies.

Cross-Department Collaboration

  • Partner with managers and trainers to schedule department-specific introductions and training.

  • Coordinate subject matter experts for technical and compliance sessions.

  • Maintain a master onboarding calendar and communicate updates.

Employee Experience & Engagement

  • Serve as a first point of contact for new hires during their onboarding period.

  • Facilitate welcome activities to introduce company values, culture, and team connections.

  • Conduct check-ins with new hires to support a positive transition into the workplace.

Tracking & Reporting

  • Track completion of onboarding activities, required training, and early competency milestones.

  • Provide managers and HR with progress reports on new hire onboarding status.

  • Identify onboarding gaps and propose improvements.

Continuous Improvement

  • Gather feedback from new hires and managers to enhance the onboarding experience.

  • Maintain and update onboarding materials, templates, and orientation resources.

  • Support integration of onboarding processes with the LMS and other HR systems.

What you will bring along

  • University Degree or College Diploma in Administrative Assistant or Business Administration or equivalate experience

  • Minimum of one (1) year experience in an administrative role

  • Strong administrative skills and computer literacy

  • Strong attention to detail

  • Excellent organizational and time management skills

  • Strong communication and interpersonal skills

  • Encourages collaboration within own and inter-departmental teams

  • Ability to work well under pressure

  • General knowledge of mining equipment product lines an asset
