Job Summary

We are seeking a highly organized and detail-oriented Real Estate Assistant to support our real estate team. The ideal candidate will manage administrative tasks, coordinate client communications, and assist with property listings and transactions. This role requires excellent organizational skills, proficiency in office software, and a friendly customer service approach to ensure smooth operations and exceptional client support.

Responsibilities

  • Manage and update property listings using various software platforms
  • Handle data entry tasks accurately and efficiently
  • Maintain organized filing systems for contracts, documents, and client records
  • Assist with scheduling appointments, showings, and open houses
  • Respond to client inquiries via phone, email, and in person with professional phone etiquette
  • Support the front desk with multi-line phone systems and greeting visitors
  • Prepare correspondence, reports, and proofreading documents for accuracy
  • Perform clerical duties including filing, photocopying, and scanning documents
  • Provide customer support to clients during the buying or selling process
  • Utilize Microsoft Office Suite, Google Workspace, QuickBooks, and other relevant tools to streamline office operations

Skills

  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or bookkeeping is a plus
  • Previous office experience in a real estate or medical office environment is desirable
  • Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
  • Ability to handle multi-line phone systems professionally and efficiently
  • Exceptional customer service skills with a friendly demeanor and good phone etiquette
  • Clerical experience including filing, front desk duties, and administrative support
  • Strong typing skills for quick data entry and document preparation
  • Knowledge of medical or dental office procedures is advantageous but not required
