Position Overview

We're seeking an Office Manager to oversee the daily operations of our Edmonton clinic. This role ensures smooth, compliant, and efficient functioning of our practice so clinicians can focus on delivering high-quality, ethical care. The ideal candidate is organized, proactive, and experienced in managing healthcare or psychology office operations.

Key Responsibilities

  • Oversee daily clinic operations and administrative staff
  • Manage billing, invoicing, accounts receivable/payable, and financial reporting
  • Ensure compliance with CAP, HIA, and PIPA standards
  • Lead recruitment, onboarding, and performance management for admin staff
  • Maintain office policies, privacy practices, and secure record-keeping
  • Support client relations, scheduling, and issue resolution
  • Manage practice systems (e.g., Jane), vendor contracts, and workflow improvements
  • Monitor budgets and produce operational reports

Qualifications

  • Diploma or degree in Business, Office, or Health Services Administration (or related)
  • 3+ years of office management experience, ideally in a healthcare or mental health setting
  • Strong understanding of privacy and clinical compliance legislation in Alberta
  • Skilled in billing, payroll, and accounting processes
  • Proficient with electronic health record (EHR) or practice management systems
  • Excellent communication, leadership, and problem-solving skills

Work Environment

  • Based in-office (Edmonton)
  • Standard office hours, with some extended hours as needed

Job Type: Full-time

Pay: $28.85-$31.25 per hour

Expected hours: 40 per week
