We are seeking a highly organized and dependable Executive Assistant to support Senior Management and help ensure the smooth day-to-day operation of the executive office.

Job Overview

The Executive Assistant plays a key role in supporting Senior Management by managing schedules, communications, administrative functions, and executive-level coordination. This position requires strong organizational skills, sound judgment, and the ability to handle confidential information with discretion.

This is a hands-on administrative role suited to someone who thrives in a fast-paced environment and enjoys being a trusted support to leadership.

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the President and Senior Management to ensure business objectives and operational priorities are met.
  • Manage calendars, scheduling, emails, phone calls, and correspondence for Senior Management.
  • Coordinate meetings, prepare agendas, attend meetings, and record and distribute minutes.
  • Act as a professional liaison between Senior Management and internal departments, customers, contractors, and external partners.

Coordination & Office Management

  • Coordinate travel arrangements for Senior Management, including itineraries and expense documentation.
  • Organize company meetings, leadership sessions, and internal or external events.
  • Ensure contracts, legal documents, and other executive materials are prepared, tracked, and executed in a timely manner.
  • Maintain organized electronic filing systems and administrative records.

Communication & Reporting

  • Draft, distribute, and follow up on correspondence generated by Senior Management.
  • Support KPI reporting and executive tracking as assigned.
  • Assist with internal communications and basic social media coordination (LinkedIn, Facebook, Instagram) as directed.

Projects & Confidentiality

  • Support special projects and initiatives assigned by Senior Management, ensuring timelines are met.
  • Maintain strict confidentiality regarding company operations, financial information, personnel matters, and executive communications.
  • Exercise discretion, professionalism, and good judgment at all times.

Skills & Qualifications

· College diploma in Business Administration, Accounting, or a related field (preferred).

· Minimum one (1) year of experience in an administrative or executive support role.

· Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

· Excellent organizational and time management skills.

· Strong written and verbal communication skills.

· High attention to detail and accuracy.

· Ability to manage competing priorities in a dynamic environment.

· Proven ability to handle confidential information with discretion.
