We're a growing architecture + interior design studio looking for a sharp
Office Administrator / PA
to run the day-to-day admin engine of the studio. This is an
in-studio role
to start
2–3 days/week
, with
potential to grow
as the studio grows.

If you're a
self-starter / go-getter
who loves building systems, keeping projects organized, and making sure nothing slips through the cracks - this could be a great fit.

Independent, proactive, and solution-oriented (not someone waiting for instructions)

What you'll own:

  • Managing project timelines + admin trackers
    (deadlines, follow-ups, coordination)
  • Permit paperwork + submissions
    (forms, tracking, resubmissions, approvals)
  • Proposals + client admin
    (formatting, assembling packages, keeping things moving)
  • CRM management
    (leads, contacts, follow-ups, pipeline organization)
  • Invoicing + basic bookkeeping support
    (QuickBooks, A/R tracking, payment follow-ups)
  • File structure + studio organization
    (folders, naming conventions, templates, archiving)
  • Creating office manuals / SOPs
    so systems are repeatable and scalable
  • Marketing
    Basic Marketing, managing social media etc.

Skills we need:

  • Strong organization + attention to detail
  • Comfortable juggling multiple tasks/projects
  • Excel
    (trackers, basic formulas)
  • QuickBooks
  • Adobe Suite
    -
    InDesign
  • formatting for proposals)
  • Independent, proactive, and solution-oriented (not someone waiting for instructions)

Bonus:

  • Experience in an
    architectural / design / construction
    studio
  • Familiarity with permits / municipal submission processes

Schedule:
Part-time,
2–3 days/week
to start (in-studio)
