Job Overview
We are seeking a highly organized and personable Front Desk Coordinator to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will have strong office management skills, proficiency with computer applications, and experience in clerical and administrative support. Bilingual abilities are a plus, as well as familiarity with spa or health/wellness environments. This position offers an opportunity to contribute to a professional setting where attention to detail and excellent communication are valued.
Duties
- Greet visitors and clients professionally, providing outstanding customer service
- Manage multi-line phone systems, directing calls efficiently and courteously
- Schedule appointments and manage calendar appointments
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Maintain office supplies inventory and perform basic bookkeeping using QuickBooks or similar software
- Support office management tasks such as record keeping, correspondence, and administrative support
- Assist with billing, invoicing, and payment processing
- Provide support for customer inquiries via phone, email, or in person with excellent phone etiquette
- Coordinate with team members to ensure timely completion of administrative & service tasks
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Strong computer literacy including proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with the ability to multitask effectively
- Strong communication skills and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs
- Prior experience as a medical or dental receptionist is a plus
- Ability to manage calendar scheduling efficiently and handle sensitive information discreetly
- Demonstrated ability to work independently with minimal supervision while maintaining attention to detail
