About the Role:

Reporting to the Associate Director, Projects & Structural Services, the incumbent maintains the Universities Space Database, AutoCAD dwg files and supports the Project Managers on major and minor capital projects.

The Asset & Project Coordinator will:

  • Manage data and asset information collection, application, and utilization by the University's use of ARCHIBUS Integrated Workplace Management System (IWMS) to support the inventory of facilities space and to use it as a tool for both space planning and to explain how spaces are used;
  • Manage the process required to configure and connect space data and information between Facility CAD files and ARCHIBUS databases to track space utilization and determine efficient use of space for future planning;
  • Provide guidance for Space Management related to facility footprint changes for accurate updating of space utilization data records in ARCHIBUS;
  • Support Space management analytics and reporting to the Council of Ontario Universities with highly accurate Facility Records;
  • Serve as the primary contact between the University and external consultants and contractors for capital projects or other projects as assigned;
  • Facilitate alignment between contractor work and University operations teams such as Maintenance and Operations, ITS, Parking Services, Campus Security as well as any other stakeholder groups affected or impacted by the construction;
  • Maintain regular communications with Project Manager and provide regular project progress reports;
  • Track contractor progress against the agreed timeline and immediately escalate any deviations to the Project Manager;
  • Represent the University at site meetings for the purpose of monitoring contractor performance particularly related to schedule, budget and quality control;
  • Facilitate negotiations and mediate between all parties to maintain acceptable conditions for adjacent occupants during construction while ensuring contractors can progress effectively;
  • Provide interior design guidance to Project Managers for classroom, office and other space improvements;
  • Develop furniture layouts and design plans for various university spaces;
  • Review and provide feedback on interior designs proposals submitted by consultants;
  • Source quotes and manage procurement of furniture, fixtures and equipment for classroom, office and related projects.

Key Skills and Experience:

  • College diploma in a related field (Architecture, Building, Engineering, Project Management, Construction Technology, Interior Design). The equivalent combination of education and experience would be considered;
  • Experience in project coordination;
  • Solid knowledge of construction methods, materials and processes, building systems (e.g. structural systems, HVAC, electrical, information technology, utilities servicing general maintenance practices)
  • Working knowledge of interior design concepts;
  • Working knowledge of contract tendering and award procedures;
  • General knowledge of appropriate institutional building quality standards;
  • Computer skills including MS Office (Word, Outlook, Excel), MS Project, data base (Access), AutoCAD and electronic file management;
  • Knowledge of Construction and tender law and relevant legislation (e.g. the Ontario Building Code, the Occupational Health and Safety Act);
  • Ability to read and comprehend architectural and engineering drawings and specifications;
  • Ability to interpret and administer financial components related to budgeting project costs;
  • Promotes and embodies inclusivity and respect within the workplace and the broader community;
  • Ability to establish and maintain sound working relationships, leveraging relationship management and the ability to develop trust and confidence, and leverage support across reporting lines;
  • Negotiation skills including the ability to build on common ground;
  • Ability to effectively prioritize work order requests based on demand, timeline and available resources while maintaining high levels of precision, safety and quality service;
  • Strong judgement, analytical and problem-solving skills.

Preferred or Asset Skills:

  • Certified Architectural, Building or Engineering Technologist;
  • Experience with AutoCad or Archibus.

Salary and Total Rewards:

  • Job Grade L, Salary Scale ($66,817-$108,353);
  • Target Hiring Range: $66,817-$85,000
  • This is a permanent position that includes:

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
