Position Summary

The Service Coordinator position is responsible for the day to day administrative duties for the service departments of the branch.

This position description is intended to capture the core responsibilities specific job tasks may vary slightly from branch to branch based on the organization structure and business needs of the area.

Specific Accountabilities

  • Answer incoming calls and direct to appropriate departments
  • Answer general customer questions and queries
  • Prepare and review monthly PM report
  • Update PM agreements
  • Handle incoming service inquiries and dispatching of technicians to job sites
  • Open service work order
  • Sort daily time tickets
  • Prepare time tickets for entry by calculating total time worked at each customer site, total daily hours worked by technician and identify LDI'S, emissions, PMs and additional work
  • Input time ticket information
  • Enter Technician's weekly hours in Ceridian for payroll processing
  • Verify work order for accuracy and close work order
  • Create service invoices
  • Service filing

Depending on Branch size this position may also include:

  • Managing the rental process including taking calls, preparing contracts, arranging delivery of truck and input into financial systems

Qualifications

Education & Work Experience

High school completion or equivalent education proficiency and/or 1-2 years' experience in an administrative office position.


Competencies and Skills

  • Excellent verbal communications skills
  • Planning and organizing skills
  • Proficient with MS Excel
  • Ability to handle multiple tasks, process large volumes, work well under pressure
  • Customer service oriented and a team player
