Purpose:

Reporting to the Associate Director, Global Learning, the Travel Safety & Awards Coordinator provides support to York University's portfolio of global learning programs. The role leads education and training on travel preparedness protocol for student programs and faculty members leading programs abroad. The role maintains the safety abroad module with updated and accurate information, provides workshops and training to students and faculty-leads, and tracks students' completion of required steps outlined in the University's travel safety protocol. The role provides coordination and administrative oversight to a variety of global learning award and funding initiatives. The role provides advice and support to both incoming and outgoing funded students and ensures completion of requirements by award recipients. The role carries out project procurement activities, and/or collaborates with members of the University community to extend current global learning funding collaborations or materialize new funding opportunities. The role also supports the global learning information collection, as well as internal/external reporting processes.

Education:

Bachelor's degree in a related discipline, such as international relations, student development, adult education, etc., or an equivalent of 4 years recent experience (defined as within the last five years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.

Experience:

Five (5) years of relevant experience. Exposure to facilitating travel safety training and compliance checks, emergency response, coordinating scholarship and award allocation and distribution, and maintaining information management systems in a relevant sector, such as post-secondary education, government, not-for-profit, etc. Experience in study, work, research, or practical training experience abroad (greater than four months) is required. Experience in project management and/or coordination and partnership development/management. Experience as a participant in a global learning program and/or experience facilitating global learning program. Experience with account monitoring, reconciliation and invoicing.

Skills:

Ability to apply the principles of travel emergency preparedness, travel risk assessment and mitigation, and emergency response.

Ability to be proactive in solving issues related to travel risk management and emergency response situations encountered by students at York and abroad.

Effective interpersonal skills, including the ability to deal courteously, tactfully, and effectively with external partners, students, faculty, and staff, and to maintain confidentiality.

Ability to prioritize work and make independent decisions based on previous experience, established precedents, official policies and from interpretation and analysis of sometimes imprecise and incomplete information.

Proficiency in university systems (i.e., Banner, PeopleSoft, etc.) and external systems that manage global learning programs (i.e., MoveON, TerraDotta, Horizons, Mobility Online, etc.).

Advanced proficiency in Microsoft 365 applications (e.g.MS Word, Excel, PowerPoint, Prezi and other presentation and design programs), database processing applications (e.g., Access, Excel), and Outlook.

Knowledge of issues impacting student engagement in international learning experiences.

Practical knowledge of education and academic systems outside of Canada (North America/International).

Practical understanding of cross-cultural communication and social norms.
