Marine Service Writer

Job Summary:
We are looking for an organized, customer-focused Marine Service Writer to be the primary point of contact between our customers and our service department. You'll greet boat owners, write up repair orders, explain needed service and repairs in plain language, provide accurate estimates, coordinate with technicians, sell additional recommended services, and ensure every customer satisfaction from drop-off to pickup.Key Responsibilities
- Greet customers (in person, phone, text, and email), listen to their concerns, and thoroughly document complaints about outboard engines, boats, trailers, and related systems.
- Inspect (or ride along with techs) to verify issues when needed and write clear, detailed repair orders.
- Research parts, labor times, warranties, and service bulletins using dealer software, manufacturer portals (Suzuki SDS, Diacom), and flat-rate guides.
- Prepare accurate estimates and explain repairs, costs, and timelines to customers in an easy-to-understand way.
- Upsell preventative maintenance, annual services, winterizations, repowers, and accessories while maintaining trust.
- Schedule service appointments and manage the shop's daily workflow/load with the service manager and lead technicians.
- Coordinate with the parts department to ensure parts are ordered and arrive on time.
- Keep customers updated on repair progress and notify them immediately of additional findings or changes in cost/timeline.
- Review completed work with customers, process payments, explain invoices, and handle any warranty paperwork.
- Follow up after service to ensure complete satisfaction and encourage reviews/return business.
- Maintain a clean, professional service drive and write-up area.
Requirements
- 2+ years of automotive or marine service writer/advisor experience strongly preferred (powersports or heavy equipment also considered).
- Strong knowledge of outboard engines (2-stroke, 4-stroke, EFI, etc.) and basic boat systems is a big plus.
- Comfortable using dealer management software (Windward, Lightspeed, ARI, CDK, Dexterity, etc.).
- Excellent communication skills — you can talk to a weekend fisherman and a seasoned guide with equal confidence.
- Professional appearance and demeanor; this is a customer-facing "face of the dealership" role.
- Ability to multitask in a fast-paced seasons (spring launch and fall winterization rushes).
- Basic computer skills and the ability to learn manufacturer online portals quickly.
- Valid driver's license and clean record; must be insurable to move boats/trailers on occasion.
- Boating experience or enthusiasm is a huge bonus.
