Cygnus Consulting Inc., with offices in Ontario and Quebec, is a capable and trusted system integration partner specializing in MES (Manufacturing Execution System) and SCADA solutions for industrial facilities.

We are currently looking for an Office Manager to work in our Markham office under the direction of our Vice President. The Office Manager is responsible for the overall organization, coordination, and efficiency of the administrative operations within our professional services company. This pivotal role ensures a smooth and productive working environment and supports accounts payable, human resources, quality management system, facilities, accounts receivable, finance and general administration of the company.

Key Responsibilities

1. Administrative and Operational Support

  • Handle invoicing, payroll and expense reports.
  • Bookkeeping tasks.
  • Manage travel arrangements for employees, including flights, accommodation, and ground transportation.
  • Assist with creation and administration of ISO documents, records and templates.
  • Support continuous improvement processes and tracking of corrective actions.

2. Human Resources and Employee Support

  • Assist with onboarding and off-boarding processes for employees.
  • Maintain and update employee records and HR files confidentially.
  • Serve as the point of contact for employee inquiries regarding office policies and procedures.
  • Help organize internal team-building activities and staff welfare initiatives.
  • Maintain and update training documentation.

Qualifications

  • Proven experience (3+ years) working as an Office Manager, Administrative Assistant or similar role, preferably in a professional services environment.
  • Demonstarted ability to reliably complete payroll, bookkeeping and adminstrative responsibilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Sharepoint).
  • Excellent written and verbal English communication skills. Capability to speak and write in French would be an asset.
  • Strong organizational and time-managmeent skills, with the ability to prioritize competing demands.

Education

  • A Bachelor's degree in Business Administration or a related field is preferred, or equivalent practical experience.

Working Conditions

  • This is a full-time position in our Markham office (existing vacancy).
