Job Summary
Reporting to the Director of IT, the
SharePoint Administrator
is responsible for managing, configuring, and supporting the organization's SharePoint Online environment within Microsoft 365. This role ensures the availability, performance, and security of SharePoint Online sites, supports collaboration solutions, enforces governance standards, and provides technical expertise to business users and IT teams.
The ideal candidate will have extensive hands-on experience with Microsoft 365 administration, SharePoint Online site management, migration tools, permissions models, Power Automate, and integrations with Microsoft Teams, OneDrive, and third-party tools.
In addition, the SharePoint Administrator will design and implement new site collections, new custom forms and automated workflows to streamline business processes; maintain and enhance the organization's existing SharePoint Document Management System (DMS); and deliver training to end users. The successful candidate will develop a strong understanding of Connexall's digital documentation requirements and ensure that business processes are effectively supported through well-defined document rules, roles, and approval workflows.
Primary Responsibilities
- Conduct meetings outlining status, milestones, and requirements for deploying new SharePoint Online Document Management System sites (DMS).
- Create new SharePoint sites, Teams sites, lists, document libraries, and content including pages, workflows, items and maintain enterprise taxonomy, terms, and keywords for the term store.
- Lead the planning, coordination, and delivery of relevant training and support for SharePoint end-users, super users, site owners, and administrators.
- Ensure employees receive adequate training and understanding of SharePoint Online by conducting orientations for new hires, organizing one-on-one sessions to address specific issues, updating staff on new features, and creating organization-specific training documentation.
- Proactively secure and protect the SharePoint environment from internal and external threats through comprehensive permissions management, auditing, reporting, and enforcement of governance policies.
- Identify and report governance violations using DLP and IRM configurations.
- Ensure the operational health of SharePoint Online environments, including user access security, availability, performance, interoperability, and reliability.
- Design, configure, manage, and maintain comprehensive site collection, site-level, and list-level usage reports and usability analyses.
- Develop, test, and implement new features in Microsoft SharePoint online and integrate new third-party products and services.
- Provide weekly status reports on Microsoft 365 and SharePoint-related tasks and activities.
- Other duties as required.
Qualifications
- A Bachelor's degree in Information Technology or related field required.
- 3 to 5 years administering SharePoint Online and Microsoft-related Admin Center modules to manage in medium-to-large enterprise environments.
- Strong working knowledge of SharePoint Online architecture, site design/ templates lists/libraries/Content Types, search and permissions model.
- Experience with SharePoint migration tools (ShareGate, Metalogix, Mover, etc.) and migration planning.
- Solid understanding of security, lifecycle management, compliance, data protection and information governance (DLP, Sensitivity and retention labels, eDiscovery).
- Familiarity with Power Platform (Power Automate, Power Apps) and basic SPFx/customization concepts.
- Must possess proficient front end/CSS skills and experience.
- Strong knowledge of managed metadata and taxonomy best practices.
- Knowledge of Power BI and Power Aps is considered an asset.
- Practical expertise in SharePoint Search Service, User Profile Service, and other Service Applications.
- Must possess at least one of the following Microsoft Certificates:
- Microsoft 365 Certified: Enterprise Administrator Expert and/or Microsoft 365 Certified: Security Administrator Associate (MS-500).
- Microsoft Certified: Identity and Access Administrator Associate (SC-300).
- Microsoft Certified: Security, Compliance, and Identity Fundamentals (SC-900) — Foundational.
- SC-400 Information Protection Administrator.
- Legacy certifications: Office 365 Administrator Certification, SharePoint Configuration, Deploying Microsoft 365 Teamwork.
- Ability to maintain confidentiality.
- Strong communication skills, both verbal and written.
- Self-motivated with the desire to continuously learn and expand knowledge.
- Team player with a positive attitude; capable of working independently in a fast-paced environment.
