We are a growing multi-family office and private wealth management firm dedicated to delivering comprehensive, high-touch financial, administrative and concierge services to ultra-high-net-worth families across Canada. We are currently seeking an Executive Assistant to join our team. This role is ideal for a dynamic, service-oriented professional who thrives in a detail-driven environment and is passionate about providing high level support with the utmost discretion, integrity, and excellence.

The Executive Assistant will provide high-level administrative, strategic, and personal support to senior executives within a UHNW family office. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and projects across professional and personal domains.

KEY RESPONSIBILITIES:

Executive & Business Administration

  • Manage a dynamic, multi-entity calendar and ensure seamless coordination between corporate, investment, and personal priorities.
  • Act as a key liaison
  • Prepare and organize materials for meetings, and board reviews, including briefings, reports, and follow-up tracking.
  • Coordinate document execution for corporate, legal, and financial matters across various entities.
  • Manage confidential correspondence, prioritize communications, and always maintain discretion.
  • Serve as the direct point of contact on day-to-day matters
  • Coordinate scheduling, reporting, and approvals
  • Support family office projects such as real estate acquisitions, trust or estate documentation, philanthropic initiatives, and investment reviews.
  • Ensure alignment between personal and corporate activities (e.g., travel, charitable giving, tax planning, and liquidity events).
  • Maintain confidentiality while facilitating efficient communication and workflow between the principal and family office team

Relationship & Communication Management

  • Build and maintain strong relationships with business partners, advisors
  • Serve as a trusted conduit ensuring clarity and professionalism in all communications
  • Uphold discretion and maintain a polished, service-oriented approach at all times.

Special Projects & Firm Operations

  • Working with the Executive Director on firm-wide strategic projects
  • Support confidential and strategic initiatives, including new business ventures, investment reviews, or philanthropic programs

· Provide administrative support for internal operations, meetings, and office functions as required.

QUALIFICATIONS & REQUIREMENTS:

  • Bachelor's degree in business administration, or a related discipline.

  • 7–10+ years of executive assistant experience, ideally supporting C-suite executives in private wealth, family office, or multi-business environments.

  • Exceptional organizational, multitasking, and time-management skills.

  • High discretion, confidentiality, and professionalism in all interactions.

  • Strong written and verbal communication skills; capable of drafting professional correspondence and executive summaries.

  • Tech-savvy: proficiency with Microsoft Office, scheduling tools, and virtual communication platforms.

  • Ability to work independently, anticipate needs, and manage multiple priorities in a fast-paced environment.

  • Flexibility and adaptability to manage both professional and select personal responsibilities.
