Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing communications, and ensuring efficient workflow across departments. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management tools. Bilingual skills are a plus, and previous office or clerical experience is highly valued. This position offers an opportunity to work in a dynamic environment where professionalism and attention to detail are paramount.
Responsibilities
- Manage front desk duties, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems to direct calls efficiently and assist callers
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management software
- Schedule appointments, manage calendars, and coordinate meetings for staff and executives
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management activities such as supply ordering and inventory tracking
- Provide customer support via phone, email, or in person to clients or patients as needed
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as copying, scanning, and document preparation
- Support personal assistant duties or medical/dental receptionist responsibilities as required
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy for data entry and document processing
- Knowledge of office management procedures and clerical best practices
- Experience with multi-line phone systems and front desk operations
- Bilingual communication skills are preferred to assist diverse clientele
- Ability to manage calendar scheduling and coordinate meetings efficiently
- Good proofreading skills to ensure error-free correspondence and documentation
- Strong customer service orientation with professional phone etiquette
- Familiarity with bookkeeping software such as QuickBooks is a plus
- Office experience including administrative support roles or receptionist positions is desirable
