Metrolinx's GO Expansion program is delivering more GO service across the network, including the capacity to deliver two-way service every 15 minutes or better on core routes. Work is already underway on new track, station renovations and infrastructure upgrades on parts of the Lakeshore, Stouffville, Kitchener and Barrie lines. The investment will generate thousands of new jobs and economic opportunities across the region. The ONxpress Civil Joint Venture is comprised of Aecon Infrastructure Management Inc. and FCC Canada Ltd. This multidisciplinary team leads the delivery of civil and track works, leveraging global expertise to introduce innovative solutions across the GO Transit network.

What You'll Do Here:


• Set up Facilities Management: Implement, review, and evaluate new administrative procedures to support property management operations at Headquarter level (2 buildings)


• Manage an Office Coordinator for Headquarter, and coordinate with Construction Site Coordinators


• Manage the contracts, budget and relationships with subcontractors and stakeholders involved in building services


• Lead the procurement process for all the services, with support of SMEs teams


• Coordinate and plan for office services, such as equipment, supplies, forms, acquisition or disposal of assets, parking, office access cards, maintenance requests, office organization, seating plans, office moves, etc.


• Manage the monthly ordering of general office supplies, including kitchen, stationery, coffee, and inventory, ensuring availability without overstocking.


• Handle mail and courier management, ensuring timely deliveries and shipments.


• Welcome new hires: Participating in Welcome sessions, Prepping desks for new hires (emptying, cleaning, providing supplies).


• In collaboration with the Communications department, facilitate office communications.


• Support the planning and execution of office & company events


• Ensure meeting rooms are set up, clean, and operational throughout the workday.


• Be an active member of the Health & Safety Committee


• Point of contact and administrator for the Tango desk booking system


• Liaison with the client and the partners' administrative teams – be collaborative and solution oriented


• Continuous improvement: organize satisfaction surveys for Facilities users. Challenge the level of services and - if needed – propose other options

· Ability to work independently on projects, with tight deadlines, under minimal supervision, and thrive in a fast-paced, high-growth environment.

· Proficiency in Microsoft Office programs.

· Minimum 5+ years of facilities management and administrative assistance experience
