Full Time Executive Assistant (EA) – Full-Time

Location: Kitchener–Waterloo–Cambridge Area (In-Office Role)

Salary: $40,000- $55,000 / year + bonuses + benefits

About the Role

We're looking for a highly organized, detail-driven Executive Assistant to support Kyle Ford across multiple businesses and fast-growing ventures. This role is intended to evolve into a fully integrated in-person EA who becomes a key operational support and trusted right hand.

What You'll Do

Administrative & Calendar Support

  • Manage Kyle's calendar, meetings, and scheduling across multiple companies
  • Coordinate daily and weekly priorities
  • Ensure Kyle is always prepared with agendas, documents, and meeting briefs
  • Organize ongoing tasks, commitments, and follow-ups

Operational & Business Support

  • Support execution of strategic tasks coming out of executive meetings
  • Maintain and update project lists, tracking systems, and SOPs
  • Handle email organization, inbox triage, and communication support
  • Assist with research, documentation, and preparing reports or summaries
  • Coordinate between internal teams, contractors, and partners

Meeting Support

  • Join leadership/executive meetings as needed (future phase)
  • Capture notes, decisions, and action items
  • Ensure tasks are assigned, tracked, and completed

Office & In-Person Duties (as the role transitions)

  • Work on-site at Kyle's office in the Kitchener–Waterloo–Cambridge area
  • Support day-to-day office operations
  • Provide in-person support even when Kyle is off-site
  • Serve as a consistent operational anchor for the business

  • Comfortable working in a fast-paced entrepreneurial environment
  • Tech-savvy (Google Workspace, project management tools, etc.)
  • Someone who wants to grow long-term into a key operational manager
  • Professionalism, discretion, and reliability
  • Based locally in KW–Cambridge (or willing to relocate)
