Company Description

Skycare Compounding Labs, a registered Drug Preparation Premises licensed by the Ontario College of Pharmacy, specializes in providing hospitals with customized sterile and non-sterile compounding services. These include intravenous infusions, intrathecal injections, enteral therapy, total parenteral nutrition, and treatments such as antibiotic, antifungal, and antiviral therapies. Our expertise extends to pain and symptom management, ophthalmic products, and non-sterile dosage forms such as capsules, oral liquids, suppositories, and topical/transdermal applications. We are committed to delivering innovative and reliable solutions to meet the unique needs of our clients.

Position Overview

We are seeking a detail-oriented and highly organized Client Services & Administrative Coordinator

to support our growing operations within a regulated healthcare and pharmaceutical compounding

environment.

This role is central to maintaining strong client relationships, ensuring accurate documentation and

billing, and supporting day-to-day administrative and executive functions.

Key Responsibilities

Client & Communication Management


• Manage shared inbox communications and respond to client inquiries in a timely, professional manner


• Maintain ongoing communication with customers regarding orders, timelines, and updates


• Ensure all client requests are acknowledged and appropriately routed

Order Coordination


• Review and process purchase orders


• Prepare accurate packing slips and order documentation


• Coordinate order details with warehouse and operations teams

Billing & Administrative Support


• Prepare invoices and apply customer payments


• Track outstanding balances and support accounts receivable processes


• Maintain organized electronic records and documentation

Internal Coordination


• Serve as a communication bridge between clients, operations, QC, and management


• Support scheduling, workflow coordination, and follow-ups

Executive & Administrative Assistance


• Provide administrative support to management


• Assist with scheduling, documentation, and reporting as required

Qualifications


• Strong written and verbal communication skills


• Excellent organizational and time-management abilities


• High attention to detail and accuracy


• Professional phone and email etiquette


• Experience in healthcare, pharmaceutical, or regulated environments is considered an asset


• Experience with invoicing or bookkeeping is an asset
