General Purpose

The Administrative Assistant is responsible for a wide variety of clerical office duties in support of agency administration. This includes greeting and screening visitors, answering and referring all inbound communication and receiving and recording payments for the various programs. The Administrative Assistant will also provide support to Intake for scheduling appointments in the Counselling program.

The Administrative Assistant will respect and uphold the Values, Mission, and Vision of Family Service Kent, demonstrating the highest standards of courtesy and respect in their interactions with other employees, clients, and both internal and external stakeholders.

Job Duties

  • Respond to telephone, e-mail, fax, and in-person inquiries from clients, business partners, and other parties.
  • Forward incoming calls, e-mail, faxes, or written messages to the appropriate staff members.
  • Refer all inquiries to the appropriate individuals, programs, or managers across the organization.
  • Collect fees and payments for the various programs and provide support to Intake for scheduling appointments in the Counselling program.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Type forms, letters, reports, and memos as necessary.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Where necessary, assist in the compilation of data for various reports.
  • As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
  • Observe and report any security issues to the Administrative Lead.
  • Maintain the reception in a tidy and presentable manner.
  • To adhere to the high professional standards of the agency as outlined in the personnel manual.
  • To perform other related duties as required.

Education

Office Administration Diploma or equivalent

Experience

1 year on-the job to learn the essential duties

Other Requirements

Proficient computer skills with knowledge of Microsoft Office products, including Excel, Word, and PowerPoint; experience with Penelope database and/or QuickBooks Online is considered an asset

Vulnerable Sector Search

Strong knowledge of general office procedures

Ability to write straightforward correspondence

General mathematical skills

Maintain filing systems and basic databases

Accountability and dependability

Strong skills in client/customer service

Proficiency in French Language an asset

Hours

Ideally looking for someone who can provide approximately 15 hours per week over the next 6 months, with the ability to take additional call-in shift a great asset.
