Role Summary

This is a unique role and an opportunity to work with exceptional leadership as the business as it grows and evolves. With a wide range of responsibilities and competing priorities, you demonstrate excellence and a get it done attitude with the ability to prioritize and meet deadlines. You are proactive, anticipate needs, demonstrate sound judgement, and a high degree of flexibility. You provide hands-on administrative support for the Marketing department preparing documents, handling requests, invoicing, billing and vendor payments.

Accountabilities

Events

  • Provide comprehensive support to the marketing team and internal business units.

  • Complete purchase requisitions, enter invoices and log costs for marketing events.

  • Log all event related costs and organize cost spreadsheet

  • Coordinate logistics for photography and video projects

  • Request, save and organize all event photos

  • Manage event sponsorship, registration, and associated cost logging.

  • Event-related tasks – such as booking floor space, ordering electrical, labour, etc.

  • Arranging items for small to medium sized events.
  • Shipping out items for events and communicating with the sales teams.
  • Any other event-related support duties.

Marketing Store Management and Sales Support

  • Perform sales support tasks, including processing orders and fulfilling merchandise/promotional item requests.

  • Manage the marketing store, ensuring adequate stock levels and a seamless ordering process.

  • Liaise with local vendors and third parties for sourcing and merchandising.

  • Ship out items to branches and provide support to the sales team.

  • Assisting with day-to-day incoming sales support requests.

  • Liase with print vendors, get quotes and assist with ordering replenishment of existing or new collateral.

Social Media and Reviews Management

  • Oversee all social media channels with the assistance of a third-party freelancer.

  • Respond to and manage customer complaints received through review channels.

Internal Events Committee and Interdepartmental Support

  • Support the internal events committee in planning and execution.

  • Assist in interdepartmental initiatives and projects.

  • Gather costs of major internal events and ensure we are logging costs.

General Duties

  • Maintain filing and organization of the marketing drive.

  • Creating PRs, logging all marketing invoices.

  • Support the awards submissions process by editing awards, gathering reports/photos, and helping with submissions and communications.

  • Saving before and after pictures on the marketing drive

  • Build and create product samples for promotional purposes.

  • Updating the welcome screens in the design gallery

  • Supporting marketing projects – getting quotes, managing communication, taking notes

  • Assist the marketing team with showroom management related tasks.

  • Making small website changes or adding/adjusting content.

  • Work with our freelance graphic designer on small to medium-sized projects

Education

  • Certificate in Business Administration or Office Administration or Marketing.

Experience / Capabilities

  • 3+ years' experience in a senior clerical, marketing assistant, marketing coordinator, or admin assistant position.
  • Equivalencies of education and experience will be considered.
  • Exceptional relationship building and interpersonal skills enabling interaction at all levels.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Very high integrity, ethical and trustworthy.
  • Knowledge of administrative procedures and systems such as word processing, managing files and records, transcription, designing forms and other office procedures.
  • Solution focused and comfortable working in an environment which requires a high degree of attention to detail and robust deliverables.
  • Comfortable with a high-volume workload, ability to multitask, organize your time and meet multiple deadlines.
  • Strong work ethic, action oriented and desire to achieve excellence.
  • Proactive and able to assimilate new information quickly.
  • Intermediate to advanced proficiency in computer skills in Outlook, Word, Excel, PowerPoint.
