About Scleroderma Canada:
Scleroderma Canada is a CRA registered national charity serving the Canadian scleroderma community. We are the national advocate for those affected by this rare and difficult disease. Established in 1999, we have worked collaboratively with regional and international organizations to bring health care research, education and clinical care together to ensure those affected by scleroderma have access to the latest advances in care.
Position Summary:
Scleroderma Canada is looking for an Executive Assistant to provide high-level administrative, operational, and governance support to our Executive Director. This role is critical to ensuring effective leadership, strong board governance, and smooth organizational operations in a patient-centred, advocacy-focused environment.
The ideal candidate is highly organized, discreet, proactive, and aligned with the organization's mission to improve outcomes for patients and families.
Under the supervision of the Executive Director, the person in this position will be responsible for:
Executive Director Support
· Manage the Executive Director's calendar, meetings, and correspondence
· Prepare agendas, briefing materials, presentations, and follow-up notes
· Track priorities, deadlines, and action items across advocacy and organizational work
· Serve as a trusted liaison between the ED and internal/external stakeholders
Board & Governance Support
· Coordinate board and committee meetings (scheduling, agendas, materials)
· Prepare and distribute board packages
· Take accurate meeting minutes and track motions and decisions
· Support board onboarding, documentation, and compliance requirements
Operations & Administration
· Maintain organizational files, records, and shared systems
· Support HR administration (onboarding, documentation, scheduling)
· Coordinate vendors, consultants, and service providers
· Assist with policy, reporting, and compliance processes
Advocacy, Events & Projects
· Support advocacy initiatives by coordinating meetings and tracking deliverables
· Assist with planning and logistics for events, conferences, and campaigns
· Provide project coordination support across departments as needed
Communications & Stakeholder Relations
· Act as a professional first point of contact for patients, partners, and funders
· Draft and manage routine correspondence and communications
· Support donor stewardship and CRM updates where applicable
Skills and Experience
· 1+ years in an executive assistant, senior administrative, or operations role
· Experience in nonprofit, healthcare, or advocacy settings preferred
· Exceptional organizational and time-management skills
· Strong written and verbal communication
· High level of discretion and professionalism
· Comfort working in a fast-paced, evolving environment
· Alignment with the organization's mission and values
