Summary

The office administrator will be an exceptional communicator with a passion for client service, dedicated to ensuring properties are well-maintained and that Condo Boards and Owners are satisfied and secure. This role involves managing properties in accordance with Management Agreements and handling Owner complaints and service requests. The administrator will participate in all aspects of daily operations, including Board and Owner relations, maintenance and repairs, security, janitorial services, landscaping, and snow removal.

Required Skills and Abilities

  • Experience: Minimum 1 year of Property Management experience or equivalent Property Administrator experience.
  • Adaptability: Ability to thrive in a fast-paced, evolving environment with resourcefulness and flexibility.
  • Computer Skills: Proficient in Microsoft Office Suite (Outlook, Excel, Word).
  • Communication Skills: Strong verbal and written communication skills with internal and external stakeholders.
  • Organizational Skills: Effective time management and ability to meet tight deadlines while managing multiple priorities.
  • Decision-Making Skills: Proficient in problem resolution using facts and strategic approaches; innovative and adaptable to change.

Duties and Responsibilities

  • Develop in-depth knowledge of each property within the manager's portfolio.
  • Maintain 24-hour emergency coverage for properties.
  • Gather quotes for annual maintenance projects.
  • Communicate with management regarding property upkeep, notices to owners, accounts receivable, building violations, and daily operations.
  • Provide support and assistance to team members as needed.
  • Assist in preparing annual meeting packages and budgets.
  • Attend Annual General Meetings (AGMs) to take minutes.
  • Build sustainable relationships with Board Members, Condo Owners, suppliers, and the real estate community.
  • Deliver excellent service to Board Members and Condo Owners, responding to requests and issues promptly and courteously.
  • Generate work orders for vendors or maintenance staff and follow up to ensure satisfactory resolution.
  • Facilitate conflict resolution among Board Members.

Job Types: Full-time, Permanent

Pay: $40,000.00-$45,000.00 per year
