Maxan is looking for an organized and proactive Project Coordinator to support our growing team. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple moving parts, and takes pride in delivering projects with precision and professionalism.

Reporting to the Manager, Project Management Operations, you'll be part of Maxan's Project Management Team (PMT), working closely with Safety, Purchasing, Field Operations, and Estimating to plan, communicate, execute, and document day-to-day project activities. You'll play a key role in ensuring projects run smoothly, meet client expectations, and uphold Maxan's industry reputation for superior craftsmanship and service, helping us build lasting relationships with our customers.

What You'll Do:

• Review project scope, material takeoffs, and labour estimates to fully understand requirements and deliverables.
• Participate in internal handover meetings with Estimating, Field Operations, and Management to align on project details.
• Visit job sites regularly to support coordination, verify progress, and maintain communication between office and field teams.
• Document meeting minutes and maintain organized project files within project management systems.
• Coordinate and track submittals, material samples, and equipment orders in collaboration with Project Managers and Field teams.
• Plan delivery schedules and logistics while supporting site readiness and safety requirements.
• Review supplier and subcontractor quotes, confirming accuracy and securing competitive, fixed pricing.
• Manage and communicate project documentation, including RFIs, CCNs, COs, and related change management records.
• Support the Foreman and Project Manager with progress tracking, reporting, and material coordination throughout the construction phase.
• Promote compliance with Maxan's Health & Safety policies and quality standards across all project activities.
• Prepare and submit project quotes using Plexxis/Winbid software and assist with coordination of mock-ups as needed.
• Review and track deficiency lists to ensure timely closeout and completion of all project requirements.
• Participate in post-project reviews to share lessons learned and strengthen future project performance.
• Compile and submit warranty and closeout documentation to clients upon project completion.

What You Bring:

• Post-secondary education in Construction Management, Project Management, Construction Engineering Technology, or a related field.
• 5+ years of experience in construction, ideally in a project coordination or project management capacity.
• Subcontractor experience is considered an asset.
• Ability to read and interpret blueprints, drawings, and specifications with strong attention to detail.
• Excellent organizational, communication, and documentation management skills.
• Proven time management and multitasking abilities to meet deadlines in a fast-paced environment.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Knowledge of building codes, materials, and construction systems is considered an asset.
• Analytical, solutions-driven, and collaborative with the ability to work independently.
• Valid driver's license and access to reliable transportation to visit job sites.
