Duties

  • Manage daily office operations, including overseeing front desk activities, multi-line phone systems, and greeting visitors with professionalism and warmth
  • Coordinate schedule management for staff meetings, appointments, and company events to ensure seamless planning and execution
  • Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers
  • Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training & development initiatives
  • Oversee bookkeeping and payroll processes using accounting software to ensure accurate financial records and timely payments
  • Assist with budgeting, expense tracking, and filing to maintain organized financial documentation and support fiscal responsibility
  • Facilitate office management tasks including filing systems, supply inventory control, and maintaining a clean, efficient workspace

Skills

  • Proven experience in office administration or related roles with strong clerical and organizational skills
  • Excellent communication skills—both verbal and written—with professional phone etiquette and customer service orientation
  • Demonstrated ability to supervise team members and coordinate multiple priorities efficiently
  • Proficiency in payroll processing; familiarity with office software such as MS Office Suite is essential
  • Skilled in event planning, calendar management, and schedule coordination for internal meetings or external events
  • Experience managing vendor relationships and negotiating contracts to optimize resources
  • Knowledge of human resources practices including onboarding, training & development, and employee recordkeeping
  • Ability to handle sensitive information discreetly while maintaining accuracy in filing and record management
  • Strong organizational skills with attention to detail; capable of multitasking in a fast-paced environment
  • Cleaning and maintenance of work area including other relevant spaces
