Kipling is currently looking for an Office Administrator to support the day-to-day operations of our downtown Toronto head office. This is a full-time, permanent, on-site position with regular business hours.

Responsibilities
Office Administration & Reception

  • Greet and assist visitors, couriers, and vendors arriving at the head office.
  • Manage incoming calls, emails, mail, and courier shipments.
  • Maintain office supplies, stationery, kitchen stock, and ensure common areas remain organized.
  • Coordinate meeting room bookings and prepare rooms for internal or external meetings.
  • Liaise with building management for maintenance requests, access cards, or facility-related needs.

Administrative Support

  • Provide administrative support to leadership and department teams as needed.
  • Draft, proofread, and format documents, memos, letters, and presentations.
  • Manage electronic and physical filing systems to ensure accurate document organization.
  • Assist with scheduling, calendar coordination, and travel arrangements when required.
  • Support internal projects with data entry, document tracking, and follow-up tasks.

General Duties

  • Provide general office support, including administrative tasks and coordination of day-to-day operations.
  • Assist with scheduling, meeting coordination, and communication between departments as needed.
  • Support basic property-related tasks that arise from time to time (light coordination only; no extensive property management duties).
  • Maintain an organized and professional office environment for staff and visitors.
  • Provide office-based administrative support, including light IT setup duties for new hires (workstation preparation, basic troubleshooting, and coordinating with IT when needed).
  • Coordinate workflow within the office and ensure smooth day-to-day operations.
  • Uphold strict confidentiality and discretion when handling sensitive information.
  • Perform other administrative and office-related duties as required.

Qualifications

  • Minimum 1 year of office administration experience, ideally in a corporate or real estate environment.
  • Strong written and verbal communication skills.
  • Highly organized, detail-oriented, and able to prioritize in a fast-paced environment.
  • Strong teamwork skills and the ability to interact professionally with staff at all levels.
  • Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Salary is commensurate with experience.
