Job Summary
The Administrative Assistant Scheduling provides administrative support to the Scheduling team in the Toronto Branch including a variety of administrative and clerical tasks including processing timecards, invoice inquiries, answering calls, and entering scheduling requests. Ultimately, the Administrative Assistant will ensure the efficient and smooth day-to-day operation of our Scheduling office.
**Reports to**: Manager Staffing Office Toronto Branch
**Position**: Fulltime Permanent
**Hours**: Weekdays and Alternating Weekends, Mondays (7am to 3pm), 8:30am to 4:30pm on other Days
**Office Location**: Yonge/College (hybrid model of office and remote work based on company needs )
**Responsibilities**:
- Processes daily timecards for healthcare provider shifts to ensure accurate payment and billing of clients
- Makes final timecard changes prior to sending to payroll department
- Responds to invoice inquiries from payroll department or account payable related to healthcare provider shifts
- Contacts healthcare providers to provide copies of their timesheets to expedite invoice inquiries and assists healthcare providers to upload timesheets into scheduling system
- Answers phone lines for Scheduling office, transfers calls to appropriate scheduling coordinator or takes messages and forwards to appropriate scheduling coordinator
- Enters shift requests into scheduling system as requested by scheduling coordinators
- Using Excel spreadsheets to keep track of data
- Taking minutes for Scheduling Team meetings
- Update and maintain office policies and procedures for the Scheduling office
- Assisting Scheduling Manager and Supervisors with daily administrative tasks
- Assists Supervisors with orientation schedule for new Scheduling Coordinators

Job Qualification
**Qualifications**:
- Graduation from an Administrative Assistant program
- Previous experience in a similar role would be required
- Previous experience processing timecards an asset
**Skills**:
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent organizational and multitasking skills
- Excellent customer service skills
- Takes initiative, ability to work independently
- Able to organize their work using tools, like MS Excel, Outlook and scheduling software
- Must be proficient in using computers and multiline phone system
- Excellent communication skills both written and verbal

- Must be fully vaccinated for COVID-19
