The Administration Supervisor position is an in-office role located in the Greater Vancouver area and reports directly to the Contract Manager. This position will support a key Facilities Management client in the BC Region.
The Administration Supervisor will oversee the efficient administrative operations of the client contract, managing the administrative team while also performing other key duties as assigned. This role requires a strong blend of leadership, organizational skills, and the ability to maintain a high level of customer service. This role will be responsible for maintaining and documenting all contract information, provide regular data reporting to the client, oversee the administrative duties of the contract, and assist in overall financial reporting. Responsibilities include but are not limited to the following:
- Lead, mentor, and coordinate the activities of the contract's administrative staff, ensuring efficient workflow and adherence to deadlines.
- Foster a collaborative and supportive team environment, setting performance expectations and conducting regular performance reviews for all direct reports
- Oversee work order management responsibilities of the team
- Work with procurement and other departments on implementing and streamlining workflow processes
- Identify opportunities for process optimization
- Assist the contract management team with budgeting and forecasting
- Oversee the document control process and maintain contract accounting records in accordance with the client's requirements
- Create and update training materials, ensuring consistency in process execution and quality of service.
- Lead ongoing training initiatives to improve team efficiency and service quality.
- Oversee the completion of accounts receivable, accounts payable, and payroll functions, ensuring accuracy and compliance.
- Offer back-up support to the Administrators, ensuring administrative duties are handled efficiently when needed.
- Other duties as assigned.

**EDUCATION REQUIREMENTS**
- Bachelor's degree in business administration, or a related field
- Post-secondary education with accounting specialization or would be an asset
**WORK EXPERIENCE REQUIREMENTS**
- Minimum of 5 years of experience in office administration or a related field including experience with financial/accounting functions
- 2-3 years of experience in training and overseeing administrative staff
**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**
- Previous experience in auditing and financial reporting would be an asset
- Excellent leadership and interpersonal skills
- Strong organizational and time management abilities
- Proficiency in JD Edwards or similar Oracle-based ERP systems and Microsoft Office Suite
- Ability to analyze financial data and generate reports
- Excellent communicator with strong written and verbal skills
