Executive Assistant to the EVP, Member Experience and EVP, Group Insurance (Hybrid)

**Executive Assistant to the EVP, Member Experience and EVP, Group Insurance**
As a member of our Member Experience / Group Insurance team, your responsibilities will include:
- Performs administrative duties. This includes researching activities and events, routing correspondence, drafting letters and documents, initiating communications, and creating, formatting and editing presentations.
- Proactively prepares the EVP, Member Experience and EVP, Group Insurance for meetings including Leadership team and general meetings as required. This includes meeting coordination, minute keeping, distributing invites/agendas, preparing materials, reserving rooms, coordinating room layout, and taking and distributing meeting minutes within set timeframes and deadlines.
- Proactively informs the designates of pertinent business activities and/or personnel matters as required or necessary.
- Coordinates external-facing presentations. Prepares PowerPoint presentations and other materials and reserves appropriate technology equipment as required.
- Prepares, collects and edits various operational reports.
- Ensures internal and external new hire access requests are completed in a timely manner and as per the required specifications.
- Maintains attendance entry requirements for applicable department / direct reports. This includes approving vacation requests, updating EVP’s calendar with teams’ vacation requests, compiling and sorting attendance data from various sources, establishing entry priorities.
- Completes special projects as requested, including participating with the department’s Business Continuity Plan and proof-reader for the Benefits Services department.

- A minimum of five years’ experience in administration at the executive level.
- Exceptional communication skills and the demonstrated ability to deal effectively with all levels of internal and external stakeholders.
- Superior time management, project management and organizational skills to manage competing priorities.
- Ability to deal with highly confidential and sensitive information.
- Ability to prioritize activities with competing priorities and with multiple stakeholders
- The ability to communicate in French is considered an asset.
