The Blueprint

The Executive Assistant, Customer Care, and Warranty plays a vital role in facilitating the effectiveness of Senior Management within the department. This role entails managing crucial priorities and initiatives, serving as a liaison for internal and external communications. Providing high-level, proactive, and responsive administrative and clerical support is a central aspect of this position. The Executive Assistant ensures the smooth coordination of events, demonstrates outstanding letter-writing skills, and actively contributes to the cultivation of positive brand experiences.

A Glimpse into Your Daily Activities
- Coordinate and facilitate seamless communication and workflow among management and departmental teams.
- Produce various customer communications and coordinate resident appointments.
- Serve as a primary point of contact for customer inquiries and feedback.
- Securely transmit important documents using DocuSign to ensure confidentiality and efficiency.
- Monitor and distribute office supplies and manage petty cash for site offices.
- Organize and execute events and meetings, including coordinating with external partners.
- Prepare resources such as handouts and signage for various stakeholders, both internal and external.
- Process purchase orders and invoices using Microsoft Dynamics AX to track expenses accurately.

The Architect of Your Success
- Bachelor's degree in Business Administration, Communications, or a related field is preferred. Relevant work experience may be considered in lieu of formal education.
- 3-5 years of experience as an Executive Assistant or in a similar administrative role, preferably within the customer care or warranty management domain.
- Proficiency in office software tools, including Microsoft Office (Word, Excel, Outlook, PowerPoint),
- Strong administrative and clerical skills, with a demonstrated ability to provide high-level support to senior management.
- Proven experience in event planning, coordination, and execution.
- Proficiency in managing team calendars and coordinating meetings.
- Demonstrates strong organizational skills, meticulous attention to detail, and exceptional time management to ensure precise and timely task completion.
- Exhibits proactive problem-solving abilities with a capacity to anticipate project and team needs, adapt to a changing work environment, and work both independently and as part of a team.
- Displays exceptional written and oral communication skills, while also being well-versed in social media and digital communication.
- Provides excellent customer service with a focus on prompt responses and clear communication.
