Project Coordinator

**Job Overview**

**1. Project Panning**
- Assistance in Planning: Help develop project plans, schedules, and budgets, ensuring that all tasks are outlined and aligned with project goals.
- Resource Coordination: Assist in the identification and allocation of resources, including workforce, materials, and equipment necessary for project completion.

**2. Communication and Liaison**
- Communication Facilitation: Serve as a central point of communication among project stakeholders, including project managers, engineers, contractors, and clients.
- Meeting Coordination: Organize and facilitate project meetings, including preparing agendas, taking minutes, and distributing meeting notes and action items.

**3. Documentation Management**
- Record Keeping: Maintain comprehensive project documentation, including contracts, change orders, schedules, and progress reports, ensuring all files are organized and accessible.
- Reporting: Assist in preparing regular project status reports, tracking key performance indicators (KPIs), and summarizing project progress for stakeholders.

**4. Task Tracking and Monitoring**
- Progress Tracking: Monitor project timelines and milestones, ensuring tasks are completed on schedule and within budget. Flag potential delays or issues to the project manager.
- Task Assignment: Coordinate the assignment of tasks to team members, ensuring clarity in responsibilities and deadlines.

**5. Quality Assurance**
- Standards Compliance: Assist in ensuring that project deliverables meet quality standards and comply with relevant regulations and industry practices.
- Quality Control Checks: Support quality control processes by participating in inspections, testing, and validation activities throughout the project lifecycle.

**6. Risk Management**
- Risk Identification: Help identify potential project risks and issues, documenting them and assisting in the development of mitigation strategies.
- Problem Resolution Support: Assist in resolving project-related issues as they arise, collaborating with team members to find solutions.

**7. Financial Administration**
- Budget Monitoring: Assist in tracking project expenses against the budget, helping prepare invoices and managing financial documentation.
- Cost Reporting: Support financial reporting by compiling cost data and providing updates to the project manager on budget status.

**8. Procurement Support**
- Vendor Coordination: Assist in coordinating with vendors and suppliers for material procurement, ensuring timely delivery and communication regarding project needs.
- Schedule Management: Maintain and update schedules for procurement activities, tracking order statuses and expected delivery timelines.

**9. Health and Safety Compliance**
- Safety Administration: Assist in the implementation of safety policies and procedures, ensuring that all project activities comply with health and safety regulations.
- Safety Meetings: Participate in safety meetings and inspections, helping promote a culture of safety on the project site.

**10. Client Interaction**
- Stakeholder Engagement: Support client interactions by providing updates and addressing inquiries, ensuring that client needs and expectations are met.
- Documentation for Clients: Assist in the preparation of documentation and reports for clients, keeping them informed about project developments.
