**JOB PURPOSE**
With your warmth and positive attitude, you will be part of team working directly with our clients and other stakeholders, ensuring they feel welcome and supported. As one of the first “faces” to greet our clients, volunteers, and donors at the door, and as the main phone operator, you will have the opportunity to set their experience in motion and help ensure that it is a most positive one. Your administrative support will help ensure the smooth and seamless operations of our programs behind the scenes. You will also play a critical role in coordinating the activities of our vibrant office space, ensuring it is a most welcoming, organized, and enjoyable place of work
**KEY ACCOUNTABILITIES**
Your sharp administrative and organizational skills will be put to good use as you establish and maintain efficient systems for the sake of program,tracking and evaluation, contributing to Ve’ahavta’s ability to deliver high quality and effective programs to our clients. More specifically, you will manage correspondences with clients, assist with program logistics, inventory management, and support events and “special client days”. You will also be in charge of scheduling meetings, appointments, and inputting client information into the database.
As the Office Coordinator, and reporting to the Manager of Program Operations, you will help ensure the site is safe, organized, accessible, and welcoming to all visitors and staff. As part of the Health and Safety Committee, you will be a champion of office tidiness and safety. Office administration will include activities such as handling mail, tracking of in-kind donations, management of program referral incentives, and composition of correspondences to internal stakeholders.
**We are seeking a highly personable and organized individual who meets the following eligibility criteria**:
**QUALIFICATIONS/ REQUIRED SKILLS**
- 1+ year of experience in a similar role and related setting
- Strong administrative and tech skills
- Exceptional time-management and ability to multitask
- Excellent oral and written communication skills
- Competency in working with CRM databases
- Excellent Microsoft Office skills, including Excel, Outlook, Word
- Demonstrated ability to learn new technology systems
- Highly organized and detail-oriented
- Self-starter and proven success in working independently
- Experience working with marginalized populations and passion for helping others
