**JOB SUMMARY**

Reporting to the Regional Director, the Program Assistant provides vital support in coordinating and managing program activities. This position involves assisting with day-to-day operations, providing administrative support, and helping maintain an efficient program environment. The Program Assistant ensures smooth communication and organization within the team and with clients or external stakeholders.

**Program Coordination Assistance**:

- Help organize program activities, events, and logistics.
- Assist in tracking project timelines and ensuring program milestones are met.
- Coordinate with internal teams and external partners for program execution.
- Provide support with the collection of payment.

**Client and Stakeholder Support**:

- Assist in communication with clients, service providers, and stakeholders.
- Support program staff in addressing client inquiries and needs.
- Help collect and manage feedback from clients and participants.

**Documentation and Reporting**:

- Support the collection, organization, and distribution of program data and reports.
- Assist in maintaining accurate records for program performance and outcomes.
- Prepare meeting notes and summaries for the team.

**Operational Support**:

- Help monitor and order office and program supplies.
- Assist in maintaining operational procedures and office workflows.
- Provide additional support to program coordinators as needed.
- Assist with the development of client service policies and procedures.

**Administrative Support**:

- Assist in the preparation of program-related materials, reports, and documentation.
- Maintain and update program databases, files, and records.
- Schedule and coordinate meetings, appointments, and events.
- Handle correspondence, phone calls, and inquiries related to program operations.

**EDUCATION, EXPERIENCE AND SKILLS**
- High school diploma required; post-secondary education in administration, business, or a related field is an asset.
- Minimum of 3 years of experience in an administrative or support role.
- Experience in a non-profit or service-based organization is preferred.
- Exceptional customer service skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic database management.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks and work in a fast-paced environment.
- Strong attention to detail and problem-solving skills

**REQUIREMENTS**
- A valid Class 5 Drivers License and access to a reliable vehicle would be desirable.
- Ability to provide a valid Criminal and Vulnerable Sector check.

**Job Types**: Full-time, Permanent

Expected hours: 37.5 per week
