As a key member of the Administrative team and under the leadership of the Human Resources Manager, the Bilingual Administrative Support Coordinator is responsible for providing comprehensive support to employees, particularly newly transferred staff - by assisting with daily administrative tasks, providing live interpretation and document translation, and facilitating onboarding for Japanese speaking employees and guests. This role ensures smooth communication, effective organization and consistent support across multiple departments within a manufacturing environment.
**Duties & Responsibilities**:
- Assist transferred and new onboarded staff with day-to-day needs, including housing searches, community integration tasks and logistics coordination
- Schedule and coordinate required appointments (e.g banking, government services, community services, housing viewings)
- Serve as a primary point of contact for employee inquiries, ensuring timely and accurate assistance.
- Support Japanese speaking employees and guests during onboarding, orientation and other company related activities
- Provide live, on the spot interpretation during meetings, orientations and cross department interactions
- Translate company policies, procedures, internal communication, forms, and documents accurately and efficiently between English & Japanese
- Prepare and maintain departmental records, spreadsheets, reports, and documents.
- Support the scheduling of internal meetings, plant tours, and departmental activities.
- Assist with arranging travel, transportation, and accommodations as required
- Maintain organized filing systems
- Coordinate and support visitors, guests, ensuring a professional and welcoming experience
- Collaborate with departments to ensure new and transferred staff receive timely assistance
- Support onboarding activities, particularly for Japanese speaking employees, in coordination with relevant teams
- Assist in tracking incoming transfers, guests, documentation requirements and follow-up needs
- Taking detailed and organized minutes during meetings, as required
- Assist with monthly compliance activities
- Help to administer an employee oriented company culture that emphasizes quality, continuous improvement, and high performance.
- Ensures team members are treated with respect and encourages an atmosphere of openness and fairness at all times
- Support 5S team and initiatives, where needed
- Duties as required by the Health & Safety Committee
- Other duties, as required
**Qualifications**:
- 2+ Years experience in an administrative, bilingual role, preferably in a manufacturing environment and/or demonstrated work experience/internal training/testing.
- **_ Fluent in bilingual ability in spoken and written English (CEFR C1 or equivalent preferred) & Japanese (JLPT N1 or N2 required) _**
- Well developed organization, time management, and communication skills.
- Above average problem solving and multi-tasking skills.
- Ability to work in a fast-paced environment with tight deadlines.
- Intuitive; able to anticipate needs and respond with a sense of urgency.
- Action orientated, flexible, dedicated, approachable and committed.
