**Position Summary**

The Administrator, Physical Production assists the physical production team with coordinating the manufacturing of new physical releases, repressing key catalog titles, optimizing worldwide inventory levels, setting up titles for distribution, managing shipping logistics and handling artist tour orders and billbacks.

**Key Responsibilities**:

- Data Entry & Systems Information Management_
- Consolidate relevant information & update shared internal information systems (Google sheets)
- Responsible for the accuracy of the Physical Production Areas of Nettwerk Central:

- Keep the Schedule in Nettwerk Central up to date with status and progress reports
- Monitor Central and coordinate with sales and marketing teams to ensure the system contains all information relevant to a release (Pricing, Units, UPCs, etc.)
- Work closely with digital production, distribution, royalties and finance to ensure Central contains accurate and timely information used by other Nettwerk departments
- Consolidate relevant information and prepare a Label Copy for each physical release
- Logistics_
- Tracking status of all open orders
- Consolidating shipping information for plants & delivering as requested
- Troubleshoot shipping and customs issues that arise
- Continual follow ups with plants to ensure jobs are on schedule
- Obtain packing slips from plants
- Fill out receiving form for distributors
- Communicate status among Nettwerk team members, distributors (shipping dates, approximate arrival dates, etc.) and artists
- Continual follow ups with shipments in progress, flagging delays & confirming delivery
- Inventory & Distribution Management_
- Request Purchase orders from Distributors
- Collect and consolidate information to create distributor set up docs
- Coordinate requests to re-stock existing physical products
- Assist transfer of stock between distribution warehouses
- Assist with obtaining quotes and pricing options
- Request information for Salesheets and submit to distributors once approved
- Artist & Promo Orders_
- Gather billing information from artists and management
- Assist with placing orders for product with distributors
- Coordinate shipments to artist
- Work closely with the Finance Team to coordinate artist billing and track status of payments
- Communicate status of order and shipments with relevant parties
- Other_
- Luminate physical product registrations
- Assist with Luminate physical product merge requests
- National Archives registrations for physical products
- Attend regular team meetings
- Other tasks, as assigned

**Role Requirements**:

- At least 1 year experience in an office environment
- Previous data entry experience
- Exceptional attention to detail
- Positive, enthusiastic and collaborative attitude
- Experience with Google Workspace (Sheets, Docs) and Microsoft Office
- Excellent organizational skills - demonstrated ability to prioritize high volume workloads
- Ability to work under pressure with tight deadlines
- Strong communication & follow-up skills
- Logistics experience an asset
