**PURPOSE**
**REFERRAL COORDINATOR RESPONSIBILITIES**
- Receive referrals electronically from referring clinics.
- Create patient demographic profiles in Juno EMR
- Call patients in a professional and friendly manner to schedule an appointment
- Implement appropriate tracking protocol for patients who are not reached via phone during the first encounter. Do appropriate follow-up to ensure confirmation of the appointment is reached before the appointment.
- Send out electronic communication to the referring provider to confirm receipt of referral and subsequent appointment booking.
- Confirm appointments that are still not confirmed for the next clinic day and ensure the doctors' schedules are full.
- Monitor cancellations closely to ensure prompt backfilling of openings.
- Send appropriate communication to the referring provider to keep them updated on the referral and booking status.
- Ensure referring provider information is accurate in Juno EMR and applicable patient profiles.
- Send out no-show letters to the referring provider should a patient not show up for the appointment.
- Bring forward improvements to the department and contribute to business optimization and referral generation.
- Perform other duties as requested by management and doctors.
**MOA RESPONSIBILITIES**
- Greet clients upon arrival and check them in for their appointment.
- Answer client phone calls
- Issue new patient intake forms and consent forms when needed.
- Run UVB light therapy treatments.
- Perform routine cleaning of UV booths and the administration area.
- Go above and beyond to meet client expectations.
- Support doctors and other health care professionals by performing necessary administrative tasks.
- Perform appointment bookings, reminders and follow-up calls.
- Manage Juno EMR patient information database.
- Accept client payments in a professional and confidential manner.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Always maintain a professional environment
- Participate in employee training and customer service training as needed.
- Educate patients on services provided at the clinic.
- Perform other duties as requested by management and doctors.
**QUALIFICATIONS**
- 1+ years of Referral Coordinator experience
- 1+ years of proven clerical or customer service work experience
- Proficient in Microsoft Office Suite programs.
- Excellent communication skills, both written and verbal
- Ability to work as a team and independently.
- Flexible availability, willingness to work weekends and evenings, as needed by the clinic.
- Possesses excellent time-management skills.
