**Description**:
The Procurement team is responsible for generating revenue by responding to our customers’ product requests with accuracy, timeliness and an understanding of VC3’s standards. As a key member of the team, the Procurement Specialist will be responsible for supporting the business in a variety of activities. These include order processing, communication, invoicing and administration. Your keys to success will be to develop a rapport with vendors, process orders quickly and accurately, drive repeat business, troubleshoot roadblocks, and deliver excellent overall service.

**Key Responsibilities**:

- Provide a timely response and guidance to procurement requests
- Prepare and process purchase orders, ensuring accuracy and compliance with company policies and procedures
- Manage the purchasing and receiving process within the ERP system
- Identify and evaluate potential suppliers, negotiate prices, and manage the procurement process for goods and services needed by the company
- Develop and maintain relationships with vendors, monitor their performance, and ensure timely delivery of goods and services
- Perform the RMA process to procure replacement products from manufacturers and vendors
- Escalate manufacturer and vendor grievances as needed
- Maintain product listing, with price and cost information, in the ERP system
- Manage the deal registration and bid request/escalation process
- Monitor inventory levels, track usage patterns, and initiate replenishment orders to maintain optimal stock levels
- Conduct cost analysis and comparisons to identify cost-saving opportunities
- Assist with Domain/SSL/Warranty renewals and maintain documentation
- Fulfill licensing requests for Microsoft CSP/NCE/Azure and additional software

**Additional Responsibilities**:

- Collaborate across all departments to maximize overall client satisfaction
- Maintain an in-depth knowledge of the products and services that we offer
- Maintain accurate and up to date documentation through the change management processes
- Document internal processes and procedures related to duties and responsibilities
- Attending training & team meetings as required
- Job Shadow other team members to ensure the ability of providing coverage for other team members
- Identify opportunities to streamline processes, improve efficiency, and implement best practices within the purchasing function
- Ensure compliance with regulatory requirements, ethical standards, and company policies in all purchasing activities
- Maintain accurate records of purchases, contracts, and vendor communications for audit and reporting purposes
- Additional duties as required

**Skills, Knowledge and Expertise**:

- 3 years’ experience IT Procurement
- General understanding of SMB networks and what their needs are
- In-depth knowledge of IT products and services
- Process driven and attention to detail: accuracy in performing procurement responsibilities
- Strong organizational, presentation, and customer service skills
- Skill in preparing written communications and materials
- Ability to multi-task and adapt to changes quickly
- Self-motivated with the ability to work in a fast-moving environment
