NATURE AND SCOPE OF POSITION
REPORTING
The Receptionist / Admin Assistant reports directly to the General Manager of Protemp Glass.
RESPONSIBILITIES & ACCOUNTABILITIES
- Greet and direct visitors, make sure everyone signs in
- Maintain and order office supplies, negotiate best prices
- Generate purchase orders as required
- Ensures to get a PO for every supply that is ordered, service calls (with Manager’s signature) and then matches with packing slip accordingly when received
- Sorts and distributes mail accordingly. Invoices to be given to AP and checks to AR.
- Sets up pick-up, deliveries for hardware or glass samples going outbound
- File all PO ’s under the correct customer
- After invoices are printed out, put in envelopes to prepare for mailing. Stamp all mail accordingly, make sure to weigh each on the postal machine, and take to Post drop off box.
- Match copy of invoices with original packing slips to be. Keeping all documents organized and dated.
- Help and support accounting department with any requests on a timely fashion.
- Keeps directory updated
- File all quotes and sort accordingly
- Prepare labels for checks given from AP and put in security envelopes, stamp and give back to AP to mail.
- Prepares other reports as required
- Other duties as assigned by management
QUALIFICATIONS
- 1-3 years of Reception experience
- Excellent communication skills (verbal and written)
- Excellent computer skills; primarily Microsoft Office programs
- Ability to multi-task and problem solve
- Organized and detail-oriented
