The Warranty Parts Administrator is responsible for processing warranty and retrofit parts requirements, ensuring accurate data entry and timely delivery of parts to all properties. This role involves coordinating with internal teams and vendors to maintain optimal inventory levels and support efficient operations.

**WHAT YOU WILL DO**:

- Processing of parts requirements on Warranty Coach Down Claims and Work Orders from Oracle Service Cloud (OSVC) while ensuring all required data is entered
- Processing of parts requirements on Retrofit Reported Incidents and Work Orders from OSVC while ensuring all required data is entered
- Processing of parts requirements on Acceptance Work Orders as required while ensuring all required data is entered.
- Working with the NFI Parts buyers and Production to coordinate the shipments and secure a source.
- Processing of Standard Warranty Claims.
- Manage work queue in OSVC.
- Submit purchase order requests to NFI Parts or Production and request stock transfers when necessary.
- Ensure the warranty claim or work order is getting the proper warranty coverage in OSVC.
- Submit price requests to NFI Parts when items are brand new.
- Data entry of warranty coach down claims submitted outside of the warranty system into OSVC.
- Investigate parts and claim inquiries from customer or NFI Field staff to find the correct part number required.
- Expedite warranty parts orders with NFI Parts or Production.
- Track shipments and ensure timely delivery to the destination site.
- Provide updates and notifications to customers and NFI field staff on parts order statuses.
- Work with NFI Traffic to schedule and clear shipments and expedite as needed.
- Update Open Acceptance & Warranty Parts Report for weekly call with NFI Parts.
- Create and provide Return Material Authorizations (RMAs) when required to customers.
- Create reports out of OSVC and Oracle as required/requested.
- Process claims from pending status to ensure they flow to the proper queue.
- Devise method of reducing parts costs through working with the NFI Planning and Machine Shop.
- Utilize Parts Manuals (TIV), Engineering Drawings and Bill of Materials (BOM) to assist with part requirements.
- Create and summarize reports as required to help make business decisions.
- Assist Acceptance and Warranty Parts Coordinator as required.
- Other duties as assigned.

**WHAT YOU NEED TO BE SUCCESSFUL**:

- 2 or more years’ experience in Claims Administration.
- 2 or more years’ experience in a parts distribution environment.
- Transit or Motor Vehicle Product knowledge or experience
- Customer Service
- Warranty/Claims Processing
- Microsoft Office
- Oracle knowledge (preferred)
- Typing Skills
- Communication
- Organizational skills
- Attention to detail
