**WHAT WE NEED**

We are looking for a dynamic **Executive Assistant** to work closely with our CEO and provide him with the required support and assistance with his day-to-day tasks and projects.

**WHAT YOU WILL BE DOING**
- Provide administrative and operational support to the CEO
- Effectively organize and maintain the personal and business schedule of the CEO
- Ensure optimal calendar management (managing scheduling conflicts, sending invitations, organizing meetings, confirming all appointments, etc.)
- Answer and transfer incoming calls with professionalism and confidence
- Coordinate travel arrangements
- Interact cross-functionally with departments, employees or suppliers in need of meeting with the CEO
- Greet visitors and prepare conference room for meetings
- Provide support during meetings (documentation, tracking follow ups, restaurant reservations, catering orders, etc.)
- Participate in the organization of professional and social events (on occasion) both internally and externally (team building activities, end of year party, etc.)
- General office administrative tasks/support as required

**WHAT WE ARE LOOKING FOR**
- A minimum of 5 years of relevant administrative experience, including prior experience providing support at the executive level
- Superior organizational and time management skills
- Must be proactive and have excellent follow through skills
- Ability to manage highly confidential information and possess solid judgement
- Ability to manage priorities in a fast-paced environment according to their relative importance and urgency
- Ability to anticipate needs and take action proactively
- Excellent oral and written communication skills and attention to detail
- Excellent interpersonal skills
- Proficient use of Microsoft Teams & Office (Word, Excel, Outlook and PowerPoint)
- Bilingualism (English and French), oral and written

**CE QUE NOUS DÉSIRONS**

Nous recherchons un(e) **Adjoint(e) exécutif(ve) **dynamique pour travailler en étroite collaboration avec notre PDG et lui apporter le soutien et l’assistance nécessaires dans ses tâches et projets quotidiens.

**CE QUE VOUS FEREZ**
- Fournir un soutien administratif et opérationnel au PDG
- Organiser et maintenir efficacement l’agenda personnel et professionnel du PDG
- Assurer une gestion optimale du calendrier (gestion des conflits d’horaires, envoi d’invitations, organisation de réunions, confirmation de rendez-vous, etc.)
- Répondre aux appels entrants et les transférer avec professionnalisme et assurance
- Répondre rapidement aux courriels, aux messages vocaux et aux correspondances écrites
- Coordonner les préparatifs de voyage
- Interagir de manière interfonctionnelle avec les départements, les employés ou les fournisseurs qui ont besoin de rencontrer le PDG
- Accueillir les visiteurs et préparer la salle de conférence pour les réunions
- Fournir un soutien pendant les réunions (documentation, effectuer des suivis, réservations de restaurant, commandes de traiteur, etc.)
- Participer à l’organisation d’événements professionnels et sociaux (à l’occasion) tant à l’interne qu’à l’externe (activités de team building, fête de fin d’année, etc.)
- Tâches administratives générales/support selon les besoins

**CE QUE NOUS RECHERCHONS**
- Un minimum de 5 ans d'expérience administrative pertinente, y compris une expérience préalable de soutien au niveau exécutif
- Compétences supérieures en matière d’organisation et de gestion du temps
- Doit être proactif(ve) et avoir d’excellentes capacités de suivi
- Capacité à gérer des informations hautement confidentielles et à faire preuve de jugement
- Capacité à gérer les priorités dans un environnement au rythme rapide en fonction de leur importance relative et de leur urgence
- Capacité à anticiper les besoins et à agir de manière proactive
- Excellentes aptitudes en communication orale et écrite et souci du détail
- Excellentes aptitudes interpersonnelles
- Maîtrise de Microsoft Teams & Office (Word, Excel, Outlook et PowerPoint)
- Bilinguisme (anglais et français), à l’oral et à l’écrit
