Your Opportunity

One Permanent Part Time Position.

We are looking for a dedicated Executive Assistant to be a supportive force who empowers our senior leadership. If you have diverse skills and like being involved in many responsibilities, this is the job for you

As an Administrative Assistant you will be accountable to the Vice President, Supply Chain Management and provide administrative services and support to supply chain management team, with periodic support to the operations team as well.

You will contribute to our team by- Being responsible for corporate credit card program administration, requisitions, invoice entry, expense entry and supplier payment details verification.- Maintaining department SharePoint site, intranet page, and various department tracking sheets.- Responding to inquiries by internal and external customers.- Word processing and editing of formal and informal business communications.- Taking minutes in meetings and action plans.- Processing mail and courier packages.- Supporting corporate credit card auditing, corporate travel program, supply chain compliance reporting.- Helping with office supplies ordering, parking placard tracking, and preparing presentation.- Escalating issues requiring further attention relating to Supply Chain Procedures and company credit card program.- Determining changes to team’s communication and document storage methods (e.g. SharePoint).- Collaborating with leaders in the area to efficiently and accurately process expense claims.- Identifying and changing business administrative processes for the team.- Developing documentation standards that help support the team’s business.- Work with area leadership to develop processes and standards for processing expense claims.- Ensure procedures are followed and effectively communicated relating to company credit card program.- Ensuring document storage processes are created/followed in a way that allows for easy access by the correct workers.- Following requisition process appropriately to help ensure company liability is limited.- Collaborating with other administrative staff to provide interdepartmental work / vacation coverage.- Planning and providing administrative support for internal and external meetings with a high level of professionalism.- Providing resource support to business units seeking assistance pertaining the corporate credit card.- Establishing and maintaining relationships with various supply chain teams and accounts payable team.

What you will bring to the role

Education- Completed High School Diploma.- Diploma in office administration will be an asset.

Experience- Proficient in business writing and document editing.- Experience in booking meetings, travel, and event organization.- Requisitioning, invoice entry, expense entry- Corporate credit card program administration- Corporate travel program administration- Support compliance reporting- Competent in Microsoft Windows, Outlook, Teams Word, Excel, PowerPoint, and Share Point.

Working Conditions:
- Hybrid Office/Work from home position.

Additional Details

Union: CSU52

Wage Range: $28.75 to $34.27

Hours of Work: 5 days a week and 30 hours a week
