We are currently seeking a dynamic and motivated individual to join our team as a _Real Estate Administrator/Listings Coordinator_.

As a Listing Coordinator, your responsibilities will encompass broker-loading listings onto MLS platforms with precision and efficiency, showcasing your expertise in tools such as ITSO Matrix, REALM & BrokerBay. You will be the creative force behind crafting compelling marketing materials that highlight the unique features of each property, ensuring its optimal presentation to potential buyers. Attention to detail is crucial in this role, as it involves reviewing and maintaining all documentation submitted to the brokerage, ensuring that paperwork is completed as per up-to-date regulations, and facilitating a smooth and compliant process for all involved parties.

Administrative Duties:

- Manage multi-line phone system, handle client inquiries professionally, providing outstanding customer service and acting as the first point of contact for the brokerage
- Greet and assist clients and visitors in a friendly and professional manner
- Booking & confirming showings through BrokerBay platform
- Provide support to Sales Representatives within the brokerage
- Communicate effectively with clients, vendors, and team members
- Assist with general office tasks such as photocopying, filing, and incoming/outgoing mail

Listing Coordinator Duties:

- Take ownership of the listing process, including brokerloading new listings, updating property details, and ensuring accurate data entry across multiple platforms
- Ensure all paperwork submitted for property listings is filled out correctly and fully signed
- Handle Amendments, Suspensions, and Cancellations accordingly
- Stay up to date on all forms, rules, regulations, and ensure brokerage compliance
- Prepare and distribute marketing materials for properties (feature sheets, brochures, postcards etc.)
- Validate the completion of each file, requesting missing information as needed

Qualifications:

- High School Diploma or Equivalent
- Previous experience in a real estate administrative role is a MUST
- Knowledge of real estate industry terminology and practices
- Extensive knowledge of real estate systems such as MLS, BrokerBay, Geowarehouse and Authentisign
- Proficiency with collaborative systems such as Google Workspace, Slack, and Trello
- Familiarity with CRMs and database entry/maintenance
- Efficient in multi-tasking, prioritizing and meeting deadlines in a fast-paced environment
- Ability to be productive independently and collaboratively as part of a team
