Purpose of Role

The Assistant, Professional Recruiting and Student Programs and Equity, Diversity and Inclusion, People & Culture will be expected to provide support to the Vancouver Manager of Professional Recruiting and Student Programs and the Manager of Equity, Diversity and Inclusion, People & Culture within the Talent team in Vancouver, and provide additional administrative support as needed.

Specific Areas of Responsibility

The Assistant, Professional Recruiting and Student Programs and Equity, Diversity and Inclusion, People & Culture will be responsible for the coordination and supporting activities of the student recruitment process, programs, and lateral associate recruitment, and provides direct support to the Manager, EDI, People and Culture and the Firm in our efforts to embed EDI in our talent and business processes.

Key Responsibilities

The key areas of responsibility for this role are:
Student Recruitment
- Support all aspects of Summer and Articling student recruitment, including
- Registering and handling payment of virtual OCIs
- Providing support before and during in-firm interview stage (including booking restaurants, assisting with receptions, post-OCI dinners, etc., reviewing and proofing in-firm materials such as scorecards, guide books, etc., organizing binders for interviewers, sending calendar invites to interviewers and hosts, preparing student name tags, etc.)
- Offer stage (drafting offer letters)
- Assist with student recruitment initiatives such as law school career fairs, firm tours, sponsorships, etc.
- Attend to administrative details and note take Student Recruitment Committee meetings

Student Programs
- Support all aspects of Summer and Articling student programs including:

- Coordinating student onboarding - preparing a two-week orientation schedule, coordinating directly with lawyers for availability for training sessions, organizing socials such as mentor/mentee happy hour, student welcome lunch, etc.
- Organizing student welcome and departing gifts with Talent Acquisition National Team
- Assisting with the execution of the summer student wellness series
- Collecting and organizing weekly student capacity reporting
- Work with Content Hub team to add student biographies to our external website, and update when necessary

Lateral Professional Recruiting
- Assisting the Manager, Professional Recruiting and Student Programs with lateral hiring, including:

- Facilitating postings on Workday, external website, CBA, etc.
- Liaising with relevant departments
- Scheduling interviews
- Sending executed offer letters and related paperwork to Talent Advisory - Business Services team for processing
- Assisting with enrolment with LSBC and transition of insurance
- Coordinating orientation.

Equity, Diversity and Inclusion, People & Culture
- Assist with the preparation of EDI communications, maintain and update website and intranet D&I pages
- Support the development of internal EDI educational programs
- Respond to initial EDI related requests and redirect to appropriate contact as required
- Provide assistance in maintaining community partnerships to support EDI
- Provide administrative support to the Manager of EDI, People and Culture
- Provide support to the Firm’s action committees
- Undertake research and prepare memoranda as required by the Manager of EDI, People and Culture
- Assist with the coordination and promotion of events, activities and training
- Assist in gathering feedback on EDI programs and initiatives to measure effectiveness and inform future improvements
- Assist in collecting and analyzing firm data related to EDI
- Any other task (s) as assigned by the Manager of EDI, People and Culture

Key Competencies

The key competencies for this role are:

- University degree or certificate in human resources, business administration, or a related field is not required, but an asset
- Minimum of two years’ experience in an administrative role
- Proficient with MS Office including Outlook, Word, Excel and Power Point
- Ability to communicate in a professional manner with students, lateral recruits, law schools, external recruiters, etc.
- Strong organizational and time management skills
- Detail-orientated individual with good proofreading skills
- Excellent multi-tasking skills
- Ability to work independently, follow instructions with mínimal supervision and take initiative
- Able to set own priorities while maintaining flexibility
- A team player with excellent interpersonal and communication skills
