Under the direction of the Fire Chief, the Administrative Coordinator provides executive administrative support to the Fire Chief on matters that are sensitive or complex in nature and requires a high level of confidentiality/discretion, analytical skill, independence, and initiative in execution in a political environment. This position is responsible for administrative coordination and facilitation of daily workflow activities, programs, processes and project initiatives. This position manages the Office of the Fire Chief, supervising and providing daily work direction and guidance to the Administrative Assistant to maintain seamless and efficient Fire Department operations ensuring community fire service excellence.
This position exercises significant independent judgement while managing Fire Command Team and general office schedules, reviewing, directing and preparing incoming correspondence and Council reports in a fast-paced environment with many competing demands. Conducts minutes recording, policy research, analysis, generates reports, establishes and maintains departmental records management system, department finances, attendance and activity records; coordinates departmental meetings ensuring confidentiality and security of information, prioritizing and recognizing urgent matters and raising critical matters forward. Coordinates, manages and prepares the Fire Chief's daily schedule of meetings including preparation of agenda and minutes. Researches special projects, conducts performance management, work process design and coordination, social media and web content management/strategy, committee support, project management and prepares presentation materials for the Fire Chief. Participate as a scribe or other duties as assigned for the purposes of emergency management.
Liaises with elected officials, Fire Command Team, Senior Management, BPFFA Executive, community partners and other internal and external stakeholders to help manage emerging issues by researching and obtaining necessary information to brief the Fire Chief / Fire Command Team. Based on operational needs of the department this position is located in office at Fire Headquarters 5 days per week.
**Qualifications**
- University Degree or Community College Diploma in Office Administration, Business or Public Administration or related discipline or suitable equivalent.
- Minimum four (4) years administrative related experience.
- One (1) to Three (3) years supervisory experience considered an asset.
- Excellent leadership, problem solving, records management, time management skills coupled with, analytical ability for complex problem solving.
- Proven research, skills with effective written/oral communication and interpersonal skills.
- Detailed oriented, with extremely organized and capable to co-ordinate and multi-task conflicting priorities and timelines.
- Proven ability to work independently and in a team environment, as well as a high degree of flexibility, adaptability and sensitivity to confidential information.
- Strong customer service and people management skills; interface effectively and courteously with the public and staff. Required to anticipate problems, be flexible and handle changing priorities effectively.
- Knowledge of and demonstrated ability in the City's core and leadership competencies as well as relevant departmental functional competencies.
- Attends various meetings, events, hearings, and acts as a representative of the Office of the Fire Chief.
- Ability to work flexible or irregular hours on short notice, as required.
- Based on operational needs of the department this position is located in office at Fire Headquarters 5 days per week.
**WAGE/SALARY RANGE**: $37.62 to $47.03 per hour (based on a 35-hour work week) plus benefits.
