Perform a wide variety of facilities management, administrative support, and field relations functions. Coordinate onsite activities and act as location contact for internal and external associates.
Job Description
Responsibilities
- Act as the liaison with landlord on various facilities and space-related matters.
- Coordinate scheduling for internal teams and field visitors.
- Conduct tours of the facility and various departments for visiting field leaders.
- Handle calls and visits from the field in a professional manner; anticipate needs, provide solutions, etc.
- Lead the Safety Team in conjunction with Human Resources, and serve as the liaison for other Employee Associations
- Make travel arrangements and submit expense reports for the President of WFG Canada and others as needed.
- Order and maintain office supplies.
- Coordinate catering.
- Coordinate employee moves within the location.
- Provide regular updates to the broader management team on location-specific issues and events.
- Generate and maintain confidential files.
- Develop new concepts and techniques to improve effectiveness, handle and resolve complex or unique assignments and inquiries, often exercising independent judgment and initiative.
- Keep the reception/lobby area neat and organized.
- Log and distribute incoming mail.
- Mail out statements.
Qualifications
- Three years of administrative support or related experience
- Excellent written/oral communication and interpersonal skills
- Organizational skills to establish priorities and meet deadlines
- Attention to detail
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficiency using MS Office tools
Preferred Qualifications
- Post-secondary education
- Experience in the financial services industry
- Office management/executive assistant experience
