**Position Overview**

We’re hiring an Event Security Coordinator to support the scheduling, administration, and delivery of event operations. This position is an entry-level management reports directly to the
Operations Manager and works closely with Event Security Managers and
Supervisors.

This role is ideal for someone who is highly organized, detail-oriented, and possesses strong administrative skills. You’ll help ensure each event is set up for success, coordinating staff, equipment, documentations, and communication to ensure smooth and professional delivery.

**Key Responsibilities**
- **Scheduling**: Create and manage staff schedules for upcoming events using our internal scheduling software.
- **Timesheets & Reports**: Verify timesheets for accuracy and review field reports for clarity and completeness.
- **Estimating**: Prepare event estimates based on client requests and preliminary event details.
- **Invoicing**: Generate invoices for assigned events based on approved hours and post-event reviews.
- **Scorecard Reporting**: Submit weekly data for internal performance tracking (e.g. event hours, incident statistics).
- **Event Preparation**: Coordinate and compile all required event documentation, post orders, and logistics materials.
- **Inventory Coordination**: Ensure uniforms, radios, and equipment are ready and organized for each event.
- **Client and Team Communication**: Liaise with clients and Event Security Managers to confirm schedules, credentials, and event details.
- **Team Collaboration**: Work closely with Managers and Supervisors to align on deployment and planning.

**Qualifications**
- Diploma or Bachelor’s Degree in a business-related field (required).
- 1-3 years of experience in coordination, scheduling, or administrative support.
- Proficient in Microsoft Office (especially Excel) and familiar with scheduling and reporting systems.
- Experience in events, logistics, or the security industry is considered an asset.

**Work Environment**

This role is based out of our Calgary office and includes occasional travel to event sites. Most travel is within Calgary, with some events taking place throughout southern Alberta. The position primarily follows a Monday to Friday schedule, though flexibility is required during peak event periods and weekends.
