In this vital role, you will be the face of our clinic, providing a warm and welcoming environment for our patients. Checking clients in and booking their next appointment as well as offering administrative support to clinicians (resource sharing, chart management, scanning/faxing) means this position is critical to smooth clinical flow. This individual must be able to troubleshoot a range of requests, prioritize urgency and adapt to changing needs.

**Responsibilities**:

- Greet patients and process registrations with warmth and professionalism
- Schedule, manage, and update patient appointments, ensuring a seamless experience
- Process payments, private and OHIP insurance claims, and financing options
- Expertly handle EMR systems to manage electronic medical records and accomplish work efficiently and accurately
- Maintain a clean, accurate, and organized front desk and filing system
- Prepare, file, and maintain patient charts for the clinic’s doctors
- Direct patients to the appropriate examination rooms and document patient vitals, such as blood pressure, heart rate, weight, and height
- Assist the team in keeping facilities tidy, organized, and clean
- Manage office supplies and equipment to ensure smooth operations
- Understand and ensure patient confidentiality and discretion at all times

Qualifications:

- Associate degree in medical/healthcare administration OR 1-2 years of experience as a medical office administrator
- Knowledge of medical terminology and insurance procedures
- Strong computer skills, including the use of MS Office Products
- Excellent communication and experience handling a busy multi-line telephone system
- Ability to work independently and within a team, demonstrating adaptability and collaboration
- Capacity to multi-task and thrive in a busy, dynamic environment
- Problem-solving and time management skills to efficiently address challenges
- Personable with strong communication skills, fostering positive relationships with patients and colleagues
- Exceptional organizational skills and attention to detail
- Ability to work with diverse communities with respect, sensitivity, creativity, innovation, cultural understanding, and non-judgement
