**Position**:Administrative Assistant**
**Job Overview**:
This role includes support for the executive office; screening requests, setting priorities and assuring that needed materials are prepared and available to the Senior Management Team to meet responsibilities. Support may include time/calendar coordination support, travel, administering departmental projects, event coordination and preparing reports, presentations and other documents. The Administrative Assistant manages a variety of special projects and acts as back up to both the Executive Administrative Supervisor and Receptionist.
**Accountabilities**:
**Executive Administrative Support**:
- Compiling, preparing, and distributing reports
- Preparing and updating tables, charts and presentations
- Prepares and distributes communication memo’s utilizing appropriate communication vehicles for correspondence
**Executive Office Management**:
Manage the Senior Management Team’s offices with the following on an as needed basis:
- Records retention (soft copy, hard copy records, publications, books, research materials etc).
- Co-ordinates internal and external meetings, conference calls, video conferences by sending out meeting requests, confirming location, A/V equipment and food and preparing/copying handout materials
- Provide calendar coordination support
**Operations Support**:
- Prepare Sales and Labour reports for Directors and ESC
- Prepare agendas for regional meetings and Store Manager conference calls
- Administrative duties for Director & Senior Directors of Operations including preparing presentations, booking travel & appointments etc.)
**Travel/Conference Coordination**:
- Coordinate and book travel arrangements and industry related conferences for the Senior Leadership Team (e.g. Trade Shows, Share Groups etc.)
**Special Projects**:
- Coordinate and manage special projects assigned by the ESC, SLT on an as needed basis
**Back Up Executive Administrative & Reception Support**:
- Provides back up support in the absence of the Executive Administrative Assistant Supervisor
- Cover Reception during absences, vacation coverage etc. as required
**Knowledge, Skills & Competencies**:
- 5-7 years of increasingly responsible administrative experience required; or equivalent combination of education and experience.
- Post secondary education
- Strong knowledge of office management principles and procedures
- Excellent computer software and database system skills including Word, Power Point, Excel, Visio and is able to retrieve information from the Internet.
**Working Conditions**:
- Work is performed in a standard office environment with participation in meetings
- Ability to manage multiple projects and changing priorities with regular deadlines
